Job Overview:
We are seeking a highly organized and detail-oriented Scheduling and Care Coordination Specialist to support the efficient scheduling of clinicians and clients, coordinate care services, manage communications, oversee receptionist duties, and assist in front-end billing activities. This role is critical for ensuring a seamless experience for our clients and clinical staff.
Key Responsibilities:
Scheduling Management:
- Develop, maintain, and optimize clinicians’ and clients’ schedules.
- Ensure appropriate client ratios are maintained.
- Serve as the primary point of contact for scheduling inquiries from clients and staff.
Assessments Coordination:
- Schedule timely assessments and reassessments for clients.
Care Coordination:
- Coordinate services across multiple disciplines.
- Arrange for substitute clinicians when needed.
Communication:
- Respond professionally and promptly to incoming calls and inquiries.
- Maintain ongoing communication via email and phone with families, clients, and staff.
Record Management:
- Maintain, audit, and update client records to ensure accuracy and compliance.
Reception Oversight:
- Oversee receptionist duties, including managing incoming calls, scheduling appointments, and handling client inquiries.
Front-End Billing Support:
- Verify client benefits, track ongoing eligibility, and manage updates regarding insurance coverage.
- Manage client payment collections.
- Handle authorization management, including tracking and maintaining all necessary authorizations.

- CentralReach (Electronic Health Record System - EHR)
- Microsoft Excel (basic proficiency)
- Phone and Email communication systems
- Minimum of 4 years of experience in scheduling, care coordination, administrative support, or a similar role.
- Strong organizational, communication, and multitasking skills.
- Familiarity with scheduling platforms, EHR systems, and front-end billing processes is preferred.
- Proficient in Microsoft Excel and Google Drive applications.
- Ability to handle sensitive information confidentially and professionally.
