  • Salary: The hiring salary for the Document Control Coordinator is starting at $66,133. The full pay range for the Document Control Coordinator is $56,524 to $90,439.

About the Job:

The Facilities Management and Airport Design and Construction departments are seeking two dedicated Document Control Coordinators to play a key role in managing and optimizing both physical and electronic documents. We’re looking for individuals with a keen eye for detail and a proactive mindset to ensure smooth document workflows and maintain compliance with policies. The ideal candidates will bring experience in document management and policy adherence, with a commitment to driving efficiency and organization across our teams.

What You’ll Do:

  • Technical Assistance & System Management: Support electronic document management system, migrate legacy documents, and troubleshoot software issues with stakeholders; provide best practices training; collaborate with stakeholders to troubleshoot and resolve system and software issues.
  • Document Control & Compliance: Manage document control programs to ensure compliance with internal standards, laws, and regulations; serve as Records Coordinator.
  • Contract Solicitation Support: Participate in Request for Proposals for service agreements, assist in the electronic distribution of bid package proposals to stakeholders.
  • Public Records Request: Respond to Public Records Requests in accordance with the California Public Records Act, ensure compliance of 49 CFR 1520 protection of sensitive security information.
  • Coding & Indexing Management: Develop and maintain coding, review and apply appropriate indexing structures, and processes for document management; create, update, and maintain technical documentation such as manuals, SOPs, and workflows.
  • Training & Employee Transition: Conduct document control training and facilitate exit interviews for departing employees; perform other duties as assigned.

The Skills We Are Looking For:

  • Attention to Detail - Ensures deliverables are legible, text-searchable, properly orientated, complete, and accurate and if certified that it meets required standards.
  • Critical Evaluation - Translates business requirements, objectives, and strategies, analyzes and defines problems, advances alternative solutions, identifies optimal solution, listens and clarifies information.
  • Problem-Solving/Agility - Completes review of situation or factors and collaboratively generates alternative or solution, readily adapts behavior or new work methods to evolving and unexpected situations and obstacles.
  • Interpersonal Ability - Proficiently communicates clearly, interprets, establishes and clarifies ideas and expectations and engages others, collaborates with stakeholders and effectively exchanges information verbally, digitally and in written format, facilitates and persuades.
  • Change Management - Identifies and implements available tools, techniques, and behaviors necessary to support change efforts that require the adoption and realization of change to achieve business outcomes and initiatives.
  • Leveraging Technology - Effectively uses and generates information electronically integrates technology solutions and systems and stays abreast of new and emerging technologies.

 

The Experience You Need to Have**:

  • Associate degree in business or public administration, or a closely related field.
  • Three years of increasingly responsible professional experience with the implementation and/or maintenance of an organization’s document control system or records management program.
  • Equivalent combination of training and experience.

Preferred Education, Certification, and Licenses:

  • Bachelor’s degree in business or public administration, or a closely related field.
  • Certified Records Analyst (CRA), Certified Records Manager (CRM), Electronic Records Management (ERM)
