Job Description

This position supports two Directors, including the APAC Marketing Director.  Your primary responsibility will be to ensure they have everything they need to seamlessly execute their responsibilities and optimize their time across regional time zones.

You’ll operate as the point person for your Directors and use your discretion wisely so you can carry out various tasks including but not limited to, significant calendar management, travel coordination, high end internal events and much more!

We operate in a hybrid model, meaning you will be in the office as your Directors require, plus you have the flexibility to work from home for the other part of the week.  You will be supported by an EA/PA group who work closely together to get things done.

Responsibilities 

  • Calendar management including scheduling meetings with complex requirements on behalf of your Directors
  • Prepare and organize all necessary materials to ensure these meetings run smoothly and effectively
  • Plan and execute high-end events for the Marketing team. Ensure every detail is meticulously managed to deliver a memorable and successful experience
  • Understand your Directors’ priorities and exercise sound judgement to make appropriate scheduling decisions on their behalf
  • Coordinate frequent domestic and international travel arrangements across APAC region
  • Communicate with a friendly professionalism and a strong ability to build solid working relationships across various stakeholders
  • Reconcile monthly expenses on a timely basis

Qualifications

  • Experience supporting Senior Executive/s with an ability to manage multiple leaders and calendars (within a large complex organisation preferred)
  • Proven experience in broad administrative duties including but not limited to: travel management (international travel, visas and itineraries), expenses, and coordination of meetings, agendas, materials and presentations.
  • Ability to handle and prioritise multiple and disparate tasks in a rapidly changing environment where adaptability is critical
  • Experience in multi-national organisations with cross regional teams
  • Thrives working in an extremely fast paced environment
  • Highly developed interpersonal and stakeholder engagement skills with excellent verbal and written communications skills
  • Ability to perform well under pressure and work efficiently, juggling a broad and busy range of tasks
  • Experience in liaising with Board members and events management
