The Safety Administrative Specialist plays a pivotal role in fostering a culture of safety within the organization by maintaining accurate safety documentation, managing incident reporting and investigations and supporting corporate safety initiatives. A successful candidate in this role has professional communication skills, high attention to detail and is able to navigate sensitive and confidential situations.
Competencies- Documentation and Reporting: Maintain records of safety inspections, and incident reports. Organize OSHA logs and other regulatory compliance documentation. Update and file Safety Manual. Draft safety-related reports, policies, and correspondence; translate into Spanish as necessary.
- Incident Management: Assist in reporting and documenting workplace accidents or near misses. Advocate and communicate with injured workers. Help conduct incident investigations to determine causes and corrective actions. Maintain confidentiality when handling safety data and personnel information.
- Corporate Safety Support: Prepare resources for Toolbox topics, prepare the Accident Cost Analysis report, and generate and manage QR codes.
- Communication and Coordination: Promote culture of safety, which takes precedence over all operations. Act as a liaison between project teams, safety managers, and upper management.
- Data Analysis: Establish administrative controls for new jobs in the safety software, categorize safety observations, and audit safety data to ensure accuracy in the safety dashboards.
Specifications- High school diploma or GED.
- No experience required, but administrative and/or construction experience preferred.
- Experience with safety data analysis and safety software is a plus.
- Bilingual (read, write and speak) in English and Spanish preferred.
- Proficiency in Microsoft Office Suite (SharePoint, OneDrive, Teams, Word, Excel, PowerPoint)
- Strong writing skills for preparing reports and correspondence.
Essential Functions- Lift up to 25 pounds unassisted.
- Sitting for long periods of time, walking and standing occasionally.
- Nature of work requires an ability to operate standard business office equipment

Work Environment- Corporate office environment with standard use of office equipment (e.g., computers, printers, etc.)
- Occasional visits to jobsites which include the use of proper Personal Protective Equipment which may involve exposure to outdoor elements and typical construction conditions.

- Monday – Friday, 8:00 am – 5:00 pm.
