We are seeking a highly skilled and detail-oriented Executive Assistant to provide comprehensive administrative support to our leadership team. The ideal candidate will have strong organizational skills, proficiency in Microsoft Office, and the ability to manage multiple tasks efficiently.
Key Responsibilities
- Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
- Organize and prioritize critical emails, ensuring timely responses and proper follow-ups.
- Attend Zoom meetings, take detailed minutes, and distribute summaries with actionable items.
- Clean and organize data within Excel, ensuring accuracy and proper formatting, including the use of Pivot Tables.
- Review, format, and refine PowerPoint presentations to ensure clarity and professionalism.
- Draft, proofread, and edit internal and external communications, ensuring proper tone and formatting.
- Organize digital files, ensuring that documents are properly categorized and easily accessible.
- Monitor and manage Outlook inboxes, flagging urgent items and drafting responses when necessary.
- Coordinate and manage special projects as needed, ensuring timely completion and quality standards.
- Conduct research to support executive decision-making, summarizing key insights and recommendations.
- Assist in preparing reports, spreadsheets, and other documents for internal and external use.
- Act as a liaison between executives and internal teams, ensuring smooth communication and collaboration.
- Maintain confidentiality and discretion when handling sensitive company information.
- Support process improvements by identifying inefficiencies and recommending solutions.
Qualifications and Skills
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Advanced proficiency in Microsoft Office Suite, particularly Excel (Pivot Tables, data navigation, and formatting) and PowerPoint.
- Strong organizational and time-management skills, with the ability to prioritize multiple tasks effectively.
- Excellent written and verbal communication skills.
- High attention to detail and ability to identify inconsistencies in documents and reports.
- Ability to work independently with minimal supervision while maintaining a high level of accuracy.
- Professional demeanor and ability to handle confidential information with discretion.
- Experience with Outlook for scheduling, email management, and coordination.
- Strong problem-solving skills and a proactive approach to challenges.
This role requires a self-motivated individual who can support executives in a dynamic and fast-paced environment. The ideal candidate will play a critical role in enhancing operational efficiency and ensuring the smooth functioning of daily business activities.
Salary: $1000 - $1200
