Pay Range: $22.90/hr. - $28.62/hr.

Workdays & Hours: Monday – Friday 8am – 5pm; Some evening/weekend work required.

An Administrative Assistant job is available with the City of Fort Worth Police Department in the CCPD Partners with a Shared Mission Unit.  This team is responsible for facilitating grant funding contracts that are awarded to non-profit agencies.  This role is responsible for coordinating various administrative duties related to the request for proposal process, contract execution, and contract maintenance and monitoring.

Minimum Qualifications: 

  • Associate’s degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field and four years of clerical and administrative experience.

Preferred Qualifications:

  • 3-years’ experience with coordinating email and phone communication and/or meeting logistics
  • 3-years’ experience in non-profit administration including working with grant making or grant seeking agencies
  • 3-years’ experience with accounts payable duties

The Administrative Assistant job responsibilities include:

  • Provides administrative support to the daily operations of the CCPD Partners with a Shared Mission Unit.
  • Performs a wide range of clerical and word processing tasks, including handling email and phone calls with internal and external parties, processing paperwork, and entering data into various City databases.
  • Responds to information requests from supervisory staff, employees, or general public. Answers questions related to the department’s activities, programs, policies, and procedures.
  • Conducts follow-up research to retrieve answers and supporting information.
  • Performs various fiscal activities including monitoring and submitting requisitions, initiating purchase orders.
  • Serves as a liaison between the Department and external agencies or stakeholders, assisting with meeting scheduling and communications.
  • Coordinates activities and monitors contracts to ensure timely completion and accurate payment schedules.
  • Performs other duties as required.
  • Adheres to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensures all behaviors comply with the City’s Personnel Rules and Regulations.

Working Conditions

Depending on assignment, positions in this class typically require touching, talking, hearing, seeing, grasping, standing, stooping, kneeling, crouching, reaching, walking and repetitive motions. 

Applicants for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility.  Due to CJIS requirements related to system access, the following will result in being disqualified for this position:  Felony Convictions, Felony Deferred Adjudication, Class A Misdemeanor Conviction, Class B Misdemeanor Convictions in the last 10 years, Class A Misdemeanor Deferred Adjudication, Class B Misdemeanor Deferred Adjudication in the last 10 years, an Open Arrest for Any Criminal Offense (Felony or Misdemeanor), and ALL Family Violence Convictions regardless of class.

Physical Conditions

Light Work – Depending on assignment, positions in this class typically exert up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and/or a negligible amount of force constantly having to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for the Sedentary Work category and the worker sits most of the time, the job is rated Light Work.
