Job Description

Administrative Support:

  • Manage and maintain executive calendars, schedule appointments, and coordinate meetings.
  • Screen and prioritize emails, calls, and requests; ensure timely responses.
  • Organize travel arrangements, including flights, accommodations, and itineraries.
  • Prepare agendas, documents, reports, and presentations for meetings.
  • Assist in drafting and proofreading communications, including emails and memos.

Meeting & Event Coordination:

  • Schedule and coordinate internal and external meetings, including cross-functional and client-facing sessions.
  • Prepare meeting materials, take detailed minutes, and track action items.
  • Organize corporate events, conferences, and team-building activities.

Project Support:

  • Support executives in tracking progress on initiatives, key projects, and deadlines.
  • Research and compile data to assist in decision-making processes.
  • Coordinate and follow up on assignments delegated to various stakeholders.

Communication & Liaison:

  • Act as a liaison between the executive team and internal/external stakeholders.
  • Maintain positive relationships with key partners, clients, and vendors.
  • Handle confidential information with discretion.

Office Management:

  • Maintain office supplies and ensure the smooth operation of office equipment.
  • Assist in budget tracking, expense reports, and invoice processing.

Qualifications

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • 5+ years of experience in an executive assistant or similar role, supporting senior management.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with attention to detail and ability to prioritize tasks.
  • Excellent verbal and written communication skills.
  • Ability to work independently, handle multiple tasks simultaneously, and meet tight deadlines.
  • High level of professionalism, discretion, and confidentiality.
