About the Position
The Student and Family Engagement Coordinator at Williamsburg Academy of Colorado (WAC) leads the planning and coordination of school-wide engagement opportunities for students and families, including in-person events, state testing support, attendance and registrar functions, and responsive communication. This individual serves as a primary point of contact for students and families, ensuring a smooth and supportive experience throughout the school year. The Engagement Coordinator works closely with the Executive Director and WAC team to create meaningful, connected experiences for all stakeholders.
Essential Roles
1) In Person Events Coordinator- Plan, coordinate, and execute all major in-person events for WAC students and families across Colorado, including but not limited to Prom, Graduation, and regional meetups. This role will also support our partner host for the annual teen retreat.
- Work closely with staff, vendors, venues, and families to create engaging, safe, and student-centered experiences.
- Communicate event details clearly to families and manage RSVPs, waivers, and logistics with attention to detail and timeliness.
2) In Person Online Testing- Support WAC’s testing program by assisting with the scheduling, staffing, and setup of in-person testing events throughout the state.
- Coordinate with the assessment coordinator and school staff to ensure smooth testing experiences that align with state guidelines.
- Communicate testing schedules and expectations clearly to families and students.
3) Attendance, Truancy, and Registrar Support- Collaborate with the Director of Operations to monitor student attendance and support timely, effective outreach to students and families.
- Assist in implementing proactive attendance strategies and address truancy concerns with compassion, clarity, and consistency.
- Provide additional support to the Registrar and Director of Operations during high-demand times to collect required documentation and ensure compliance with enrollment, registration, and attendance policies.
4) Parent & Student Issue First Point of Contact- Serve as the first line of communication for students and families seeking support or information during the school year.
- Respond to inquiries, resolve issues when appropriate, and escalate concerns to the appropriate WAC team member when needed.
- Track and follow up on concerns to ensure families feel heard, valued, and supported throughout their WAC experience.
Minimum Qualifications- Bachelor’s degree (preferred)
- Colorado residency
- Willingness and enthusiasm to travel to various locations across Colorado throughout the year
- Proven experience in event planning
- Excellent interpersonal and communication skills in a digital environment.
- Demonstrated skills in organization, communication, and problem-solving
- High degree of flexibility with an aggressive growth mindset.
- Proficiency in Google Suite (Gmail, Docs, Sheets, Drive, etc.).
- Experience using Zoom, Canvas, and/or other online teaching tools.
- Ability to pass a background check

Compensation and Schedule- $58,656 annual salary
- Start date: ASAP
- Schedule: 40 hours per week, Monday through Friday. Specifically, this includes:
- Completing 75% or more of your work during regular business hours (9:00 AM to 5:00 PM MT).
- Participating in 2-3 weekly online team meetings, with additional meetings as needed.
- Attending day-long, department-wide online quarterly meetings held four times per year.
- Acting as a Substitute or Guide for in-person Adventures on Fridays, as needed
