Overview

WS Development is seeking an outgoing and organized Property Coordinator (PC) to join the team working onsite for one of Boston’s fastest growing real estate development companies and working together with one of the world’s fastest growing tech companies. Reporting to the Property Manager (PM) for 400 Summer Street – one of Boston’s newest and finest real estate developments – the Property Coordinator will assist with property management administration, tenant relations, and day-to-day operational support for the team.

Key Position Responsibilities

The primary focus of this position will be to support the PM and Assistant Property Manager (APM) in all aspects of property oversite, The position offers exposure to all aspects of managing premier, highly visible, and very demanding life science, office & retail real estate, The Property Coordinator will play a central role in managing the standing operations of the building. This is very much a team environment, so a positive attitude, a desire to learn and contribute and an ability to work well with others are all prerequisites to success in this role.

Specific Responsibilities

Tenant Relations:

  • Promote and maintain positive relationships with tenants via proactive communications and routine follow-up in close collaboration with the PM and APM.
  • Maintain a standing tenant database for the commercial and retail contacts.

Project Management:

  • Assist APM with monitoring and tracking tenant work orders in close collaboration with engineering, janitorial, and security team members.

Maintenance and Operations:

  • Work with the APM on maintaining vendor and tenant insurance database, ensuring certificates are current and compliant.
  • Provide support on timely and efficient invoice processing. 
  • Assist with contract management and renewals.
  • Perform daily site walks with the PM and APM to become familiar with Class A standards of building management and maintenance.
  • Serve as the point of contact for the management of 400 Summer Street. This role will order and organize supplies, focus on expense management, and offer regular customer service support to visitors to the office.

Financial Management:

  • Assist the APM with the accounts payable and accounts receivable process.
  • Provide support to the APM and PM in creation of budgets, CAM estimates and reconciliations.

The ideal candidate will exhibit the following traits:

  • Be both warm and professional, and able to interface with multiple audiences on behalf of Seaport and WS Development
  • Intellectually curious and eager to learn, grow skillset, and expand in responsibility
  • Highly organized and able to develop and maintain tracking systems for expenses, invoices, and contracts
  • Comfortable serving as the “first call” for operational items or basic inquiries that may arise from tenants
  • Comfortable in a highly collaborative and fast paced environment
  • Able to take direction from multiple points and prioritize independently
  • 2+ years of applicable work experience and/or internship experience preferred
