Job Description

The Talent Acquisition team are seeking an ambitious TA Coordinator, Team Lead to lead an optimal talent experience for candidates and lead members of our TA Coordinator team in the areas of interview scheduling, pre-employment processing and overall candidate care from initial interviews through the hire process. This incumbent will not only lead this team but plays a vital, hands-on role delivering similar services to the Recruiting team and client teams, as well as work on ad hoc projects including system and process enhancements to advance our operational excellence and candidate experience.  This is a strategic role ensuring an overall delightful talent and stakeholder experience with efficient connections for approximately 25,000 interviews a year and a team of TA Coordinators.

This role will be based in Lake County, IL with hybrid working schedule.

Responsibilities:                                                                                                                                       

  • Effectively lead and inspire a team of coordinators, while strategically resource planning for forecasted and unexpected spikes in hiring trends.
  • Source, hire, and train all new TAC (Talent Acquisition Coordinators) joining the team, ensuring a comprehensive two-week onboarding process covering an overview of our business, interview scheduling, background checks, and the Talent Acquisition process. 
  • Assist with overflow tasks related to interview scheduling, background checks, TA processes as needed.
  • Address day-to-day inquiries regarding interview scheduling and background checks.
  • Collaborate with TAC Leads in other functions to support process improvement and strategic planning initiatives. Conduct weekly one-on-one meetings and bi-weekly team calls to discuss updates and challenges.
  • Work closely with recruitment leads to manage hiring expansions, requisition volume, recruitment alignment, and impactful process changes within business groups.
  • Provide data and insights to TAC Team and Recruitment leads monthly, providing trends, challenges, and recommendations for manage and improve efficiencies.
  • Ensure the team is well-versed in processes to ensure hiring compliance and a great candidate experience including Job Accommodations, Sunshine Act Reporting, Candidate Expenses, BCD Travel & Concur, Hogan Assessments, and Interview Accommodations.
  • Organize quarterly team meetings that include operational and capability-building training sessions.
  • Oversee Job Accommodations within the function, assisting employees with work restrictions and displaced employees, and providing general information on open positions.
  • Manage BCD Travel vendor, providing updates or process improvement for TAC Team.  Investigate and follow up on any challenges and bottlenecks in the process. 
  • Facilitate Hogan Assessments for specific functions and regions, while monitoring administrative tasks to ensure all functions have access to use assessment properly.
  • Represent the team at career fairs and conferences to have talent connections with our team members.
  • Manage interview scheduling, background checks, and other tasks by the Coordinators when the team is over capacity or coverage is needed.

Significant Work Activities: Continuous sitting for prolonged periods (more than 2 consecutive hours in an 8 hr day) is required

Qualifications

Qualifications:

  • Bachelor's Degree preferred.
  • 2+ years’ experience in leading strategic projects, teams of at least 4 administrators, and leading stakeholder needs.
  • Advance skills in Microsoft Suite including Outlook, Excel, PowerPoint, and Word along with other reporting tools.

Preferred Qualifications:

  • Previous experience in HR, Talent Acquisition, event planning, or career fair coordination is preferred
  • Previous experience in managing competing priorities, stakeholder management—seamless communication with varied audiences to provide strategic guidance to the business
  • Proven ability to provide exceptional verbal and written communication skills
  • Experience interacting with executives and admin assistants
  • Report preparation and presentation experience
  • Experience with Excel, Outlook, BCD Travel & Concur
