Action Property Management, the leader in community management, is seeking a full-time Overnight Front Desk Supervisor to join our team at our luxury association, The Infinity, located in San Francisco.
The Overnight Front Desk Supervisor, under the direction of the Front Desk Staffing Manager, oversees, trains, and develops the Front Desk Associates to ensure smooth operations and excellent guest satisfaction. Acting as the initial point of contact for building visitors, the Overnight Front Desk Supervisor maintains a professional appearance, clear communication, and polite demeanor while addressing inquiries or phone calls.
Job Responsibilities:- Supervisory Responsibilities:
- Oversee the maintenance of the front desk, lobby, main elevators, and surrounding areas, ensuring they remain clean and organized, while delegating tasks to janitorial or maintenance staff as necessary.
- Assist residents with Common Area room reservations by supervising room scheduling, setup, and inspection, and ensuring proper coordination with maintenance and janitorial staff.
- Review team-generated Incident Reports, ensuring accuracy and proper follow-up with Management.
- Periodically or regularly observe building activity as captured by surveillance cameras and displayed on security monitors; report suspicious or abnormal activities to Action staff and Management, or law enforcement, as appropriate; prepare detailed documentation of incidents according to established procedures.
- Facilitate daily communication among Front Desk Supervisors and coordinate check-ins with the Front Desk Staffing Manager.
- Ensure adherence to emergency procedures and oversee team communication with residents and emergency personnel during incidents such as fire alarms, flooding, or earthquakes.
Leadership and Supervision:
- Lead, mentor, and support the front desk team to ensure consistent high-quality service.
- Schedule and oversee front desk shifts, always ensuring appropriate coverage.
- Conduct training sessions for new front desk staff and provide ongoing development opportunities.
- Monitoring compliance with required breaks and lunches.
- Ensure team members are prepared for each shift by:
Reviewing daily reservations and assigning tasks.
Verifying that all team members are in proper uniform.
Running pre-shift meetings with the guidance of the Front Desk Staffing Manager.
Operations Management:
- Monitor and enforce adherence to company policies, procedures, and standards at the front desk.
- Coordinate with other departments to ensure seamless property operations.
- Monitor and manage inventory of supplies and forms, ensuring timely replenishment and escalating needs to Management when necessary.
Administrative Duties:
- Maintain accurate records, logs, and reports related to front desk activities.
- Assist in preparing weekly and monthly operational reports for the General Manager.
- Manage key distribution and ensure proper security protocols are followed.
- Responding to emails the team cannot address and escalate them to the appropriate personnel.
Team Collaboration:
- Act as a liaison between the front desk team and management.
- Participate in staff meetings and provide feedback and updates on front desk operations.
Qualifications / Requirements:- Must be over 18 years of age and successfully pass a pre-employment background check and drug screening.
- At least 2+ years of customer service experience. Hospitality, property management, luxury retail or fine dining experience is preferred.
- Experience supervising and leading teams.
- Experience working overnight/ graveyard.
- Polished and professional appearance and demeanor.
- Upbeat and positive team player attitude.
- Strong judgment and solutions-oriented.
- Proactive customer service approach.
