Our client, founded in Denmark in 2018, is a Shopify-certified expert agency specializing in Conversion Rate Optimization (CRO) for e-commerce businesses. With a global presence spanning countries like Norway, Sweden, the UK, the USA, and more, they focus on enhancing website performance, boosting conversion rates, and driving revenue growth through custom Shopify solutions. Their expertise includes website optimization, custom design and development, and long-term client partnerships, ensuring measurable results backed by a satisfaction guarantee.

Scope of the role:

We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to our leadership team. The Executive Assistant will manage day-to-day operations, optimize executives’ time, and facilitate communication across teams. This role requires exceptional organizational skills, discretion, and the ability to handle multiple priorities in a fast-paced environment

Responsibilities:

Administrative Support

  • Manage complex executive calendars, scheduling meetings, appointments, and events.
  • Arrange domestic and international travel, including flights, accommodations, and detailed itineraries.
  • Prepare and edit documents, presentations, reports, and correspondence with accuracy and professionalism.
  • Handle expense reporting, reimbursements, and budget tracking.

Communication Management

  • Act as a gatekeeper, managing incoming calls, emails, and correspondence, prioritizing responses on behalf of executives when appropriate.
  • Serve as a liaison between executives, internal teams, clients, and external stakeholders.
  • Draft and distribute meeting agendas, take detailed meeting minutes, and track follow-up action items.

Strategic and Project Support

  • Assist in planning and executing special projects, ensuring milestones and deliverables are met on time.
  • Conduct research and provide summaries or insights to support executive decision-making.
  • Maintain and update key records, reports, and performance metrics.

Relationship Management

  • Build and maintain strong relationships with internal and external stakeholders, ensuring clear and professional communication.
  • Plan and coordinate team events, corporate meetings, and other engagements as needed.

Problem-Solving and Crisis Management

  • Anticipate executive needs and proactively address issues.
  • Manage last-minute changes and resolve scheduling conflicts efficiently.
  • C1 English level, with excellent verbal and written communication skills (Must Have)
  • 2+ years of experience as an Executive Assistant or in a similar role. . (Must Have)
  • Exceptional organizational and time-management skills.
  • Outstanding verbal and written communication abilities.
  • High level of discretion and ability to handle confidential information.
  • Strong proficiency in Microsoft Office Suite, Google Workspace (Word, Excel, PowerPoint, Outlook), and other productivity tools.
  • Experience with project management tools, CRM platforms, and Shopify (Preferred)
  • Proactive and resourceful problem-solver with a high level of initiative.
  • Adaptable and able to thrive in a fast-paced, dynamic environment.
  • Professional demeanor with excellent interpersonal skills.
