Aprio is a progressive, fast-growing firm looking for an Executive Assistant to the CEO.
As the Executive Assistant to the CEO, you will play a crucial role in supporting the firm’s top executive through exceptional organization, planning, and communication. This is an opportunity for an experienced, highly skilled Executive Assistant to contribute to a high-impact firm that values innovation, efficiency, and adaptability. You will ensure seamless day-to-day operations, coordinate activities across teams, and support critical M&A initiatives.
Position Responsibilities:- Responsible for completing a wide variety of professional and personal responsibilities for the CEO, including managing an extremely active calendar of appointments, completing expense reports, composing and preparing confidential correspondence, arranging complex and detailed travel plans, itineraries, agendas, and arranging appointments during travel.
- Serve as the primary point of contact for internal and external communications directed to the CEO. Work closely with the VP of Communications to draft, proofread, and manage correspondence on behalf of the CEO.
- Plans, coordinates, and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
- Support M&A initiatives by scheduling and coordinating meetings with potential acquisition targets, investors, and internal stakeholders. Work with the M&A Teams to ensure successful relationship building of potential acquisition Partners.
- Acts as the Aprio liaison to the CEO’s office. Ensure that everyone who needs to know is informed while maintaining the confidentiality of the Executive Leadership Team.
- Provides a bridge for smooth communication between the CEO’s office and practice/segment groups as well as other Aprio offices, demonstrating leadership to maintain credibility, trust, and support.
- Facilitate and monitor key projects to ensure deadlines are met, particularly those related to M&A activities, operational efficiencies, and strategic growth initiatives.
- As an extension of the Executive Leadership Team (ELT), attend meetings as applicable to stay informed and aware of developments, changes, and information to adequately support the CEO and the requirements of the Executive Leadership Team and the firm.
- Communicates directly, and on behalf of the CEO, with the Executive Leadership Team, Directors, and other senior leadership/management teams on matters related to the CEO's initiatives.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those sensitive or confidential. Determines appropriate course of action, referral, or response, as appropriate.
- Communicate directly with and handle specific annual tasks for high-profile clients for which the CEO remains involved.
- Maintains discretion and confidentiality in relationships with all necessary parties.
- Draft meeting agendas for the CEO as needed.
- Additional Executive Support Duties:
- As needed, arrange for the signing of confidential and sensitive documents for the General Counsel.
- As needed, prepare confidential NDAs & send them for signature.
- Maintain an active Notary license to support confidentiality and the firm in general.
- Organize, maintain, and assume custodial responsibilities for the CEO’s documents, files, and records – and for the General Counsel as needed.
- General Executive Support Responsibilities:
- Prioritize conflicting needs, handle matters expeditiously and proactively, and follow through on projects to successful completion, often with deadline pressures.
- Maintain discretion and confidentiality in relationships with all necessary parties.
- Adhere to compliance with applicable rules and regulations set regarding company matters, including advance distribution of materials before meetings in electronic/paper format.
- Maintain the CEO’s Outlook Contacts, ensuring special notations are in the memo sections as well as other documents of importance (resumes, bios, linked-in profile links, etc.)
- Helped the CEO manage a complex and confidential email account, deleting junk, accepting, declining, and deleting unnecessary items for the CEO’s review (“thank you”, etc.), and flagging items of importance.
- Organizing and coordinating conference calls/video conferences.
- Opens, scans, and sorts executive office mail for importance, urgency, and distribution.
- Act as a mentor to all administrative & support staff across all Aprio Offices.
- Be a brand ambassador for the Aprio Fundamentals.
- Other responsibilities as deemed appropriate or necessary.
Qualifications:- A bachelor’s degree in business administration, communications, or a related field is preferred, or a combination of related experience, education, and/or training to sufficiently and successfully perform the job's essential functions.
- Experience: Minimum of 5+ years experience supporting Chief Executives, preferably in a high-growth firm. Familiarity with M&A processes is highly desirable.
- Proven ability to handle confidential information with the highest degree of discretion and integrity, be adaptable to various competing demands, and demonstrate the highest level of service and response.
- Exceptional organization and time-management skills.
- Self-starter with strong written and verbal communication abilities.
- Proficiency in MS Office Suite (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms, as well as familiarity with CRM systems and project management tools.
- Ability to handle confidential information with discretion and a high level of integrity.
- Anticipates needs and is confident, articulate, extremely proactive, and able to act on their initiative.
- Time management is critical, being able to prioritize demands and have excellent attention to detail.
- Strong problem-solving skills and adaptability in a fast-paced environment.
- Ability to manage competing priorities while remaining proactive and self-motivated.
