Office Manager/ Executive Assistant

We are seeking a highly organised and efficient Office Manager / Executive Assistant to support our New York office and northern hemisphere executives. This role combines office management responsibilities with executive support duties to ensure smooth operations and maximize executive productivity.

The Opportunity

This role is far more than traditional administrative support - you are the critical operational backbone that will enable our northern hemisphere executives to drive Auros' global strategy and innovation. By meticulously managing their operational environment, anticipating their needs and supporting a smooth office experience, you directly contribute to the company's ability to execute at the highest level.

Key Responsibilities: The ideal candidate will be a self-starter who can anticipate needs and take initiative to ensure smooth operations across all areas of responsibility.

Office Management

  • Oversee day-to-day operations of the New York office, ensuring a professional and well-maintained work environment
  • Manage office supplies, equipment, and maintenance needs
  • Coordinate with landlord, vendors and service providers for office-related matters
  • Handle incoming and outgoing mail, including distribution and shipping
  • Checking and paying bills
  • Manage office lease agreements and related documentation
  • Book travel and provide support with arrangements for company offsites

Executive Support

  • Provide administrative support to Northern Hemisphere executives
  • Manage complex schedules and calendars for multiple executives
  • Book appointments and coordinate meetings, including preparation of agendas and materials
  • Support with a range of administrative duties including taxation admin and basic accounting/reconciliations
  • Manage adhoc requests as needed

Financial management

  • Process accounts payable and manage invoices
  • Assist with budget tracking and expense reporting
  • Coordinate with the finance department to ensure timely payments and accurate record-keeping
  • Manage basic accounts and reconciliations

Communication and Organisation

  • Act as a primary point of contact for northern hemisphere operations and support
  • Prepare reports and support materials as requested
  • Prepare and distribute post-meeting correspondence and follow-up on action items

Qualifications

  • Proven experience as an Office Manager, Executive Assistant, or similar role
  • Excellent organisational and time management skills
  • Strong communication abilities, both written and verbal
  • Proficiency in Microsoft Office Suite and other relevant software
  • Strong financial acumen with experience in payments and reconciliations
  • Ability to maintain confidentiality and handle sensitive information with discretion
