Administrative Assistant - Overseas Job (Illinois)

Job Description:

We are seeking a highly skilled and adaptable Administrative Assistant to join our Financial Services team. The ideal candidate will have excellent communication skills, resourceful, problem solver, a strong customer service orientation, and a passion for working with clients from diverse cultural backgrounds.

Responsibilities

  • Providing administrative support to global clients
  • Handling client inquiries and requests from diverse cultural backgrounds
  • Preparing and organizing account documentation, reports, and presentations
  • Resolving client issues and concerns related to transactions in a timely and professional manner
  • Maintaining accurate records and filing systems
  • Some limited travel maybe required

Other administrative tasks as:

  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

Proven experience in a fast-paced administrative or real estate environment.

Strong organizational and time management skills.

  • Excellent written and verbal communication skills in English, Malay, Mandarin, Cantonese, and Spanish.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy.
  • Flexibility to adapt to changing priorities and deadlines.
