CDR Maguire, Inc., a national engineering and emergency management firm, is seeking a detail-oriented Administrative Marketing Coordinator to support our Marketing and Proposal team in developing compelling, compliant, and winning proposals. This role is integral to managing key marketing materials, updating databases, and assisting with proposal development to secure new business opportunities.
The ideal candidate is a creative, proactive professional with strong writing skills and the ability to work under tight deadlines. They will collaborate with technical staff to develop resumes, project descriptions, and proposal content while ensuring accuracy and consistency across marketing materials. Proficiency in Adobe Creative Suite and Microsoft Office is essential. Emergency management experience is preferred.
This is a fast-paced role that requires excellent organizational skills, attention to detail, and the ability to work independently while meeting critical deadlines. Candidates should be comfortable handling multiple projects at once and possess strong communication skills to effectively convey the company's value to prospective clients.
Onsite Requirement:
This is a fully onsite position with no option for remote work. Candidates must be available to work in the designated office location during standard business hours and as needed to meet deadlines.
Essential Functions:
- Supports Marketing/Proposal Coordinator by identifying and supplying information from existing libraries and databases to support proposal document strategy.
- Manages information capture, update, and revisions to project, resume, graphics, reference, and other data.
- Interviews technical staff and subsequently writes resumes, project descriptions for proposals, and copy for web, brochures, and print, etc.
- Works with technical staff to develop proposal sections and scopes of work.
- Coordinates proposal concept/content by identifying and clarifying opportunities and needs; studying requests for qualifications/proposals (RFQ/Ps); attending strategy meetings.
- Meets proposal deadline by establishing priorities and target dates for information gathering, writing, review, and approval; entering and monitoring tracking data; coordinating requirements with contributors; contributing proposal status information to review meetings; transmitting proposals.
- Gathers proposal information by identifying sources of information; coordinating submissions and collections; identifying and communicating risks associated with proposals.
- WRITING SKILLS are necessary for this position.
- Emergency Management experience (preferred).
- Ability to work with tight deadlines and multitask.
- Self-starter, able to work independently and able to multi-task in a fast-paced deadline-oriented environment.
- Ability to read, comprehend and execute proposal instructions and responses, tailoring responses to effectively communicate proposal strategy.
- Excellent interpersonal relationship skills ability to take ownership of assignments from start to finish.
- Demonstrated graphic design skills.
- Proficient in Adobe Creative Suite (particularly InDesign) and Microsoft Office (Word, Excel, PowerPoint).
- Attention to detail and highly organized.
- You must work well under pressure and be able to occasionally work irregular hours to meet deadlines.
- Bachelor’s degree or equivalent experience in crisis communication, marketing, journalism, English, engineering, or equivalent company (preferred).
