What is the Role?

The Operations Associate (OA) is an excellent opportunity for those seeking a career in school operations or in a school setting outside the classroom. OAs are self-starters and motivated to learn all aspects of operations in order to carve out the path of their career. You find joy in serving as a first point of contact for students, families and visitors to Coney Island Prep and playing a key role in the school’s daily workings -- providing support to teammates on student data and files, compliance tasks, purchasing, stocking shelves and beautifying the school. You will help teammates coordinate and communicate the initiatives of the Operations Team as a whole.  

The OA will be hired by the Director of Operations (DOO).  

What You’ll Be Asked To Do

Scholar and Family Communication

  • Support a warm, welcoming main office environment for families by building relationships and providing top-notch customer service
  • Professionally respond to all incoming and provide support on outgoing communication between scholars, families, and staff (including mailings, letters home, phone calls, emails, etc.)
  • Serve as a point of contact for the school on all phone communication including, but not limited to, answering the phones and taking messages
  • Support daily attendance procedures to ensure accuracy of data and clear, daily communication with families
  • Maintain the main office workspace for aesthetics and function, including the inventorying and organization of supplies/materials, scholar concerns and visitor systems
  • Track completion of all parent and student-facing surveys, RSVPs, permission slips, and other relevant documentation 
  • Support summer and mid-year enrollment efforts by making calls to prospective families and collecting documentation

Student Data and Academic Support

  • Support teammates in working to maintain and update student files, family contact information, health records, medication forms, parental permission and all other documentation to ensure compliance with state mandates
  • Engage in relevant data entry to ensure student information systems are accurate and updated with current student data
  • Support with creation and distribution of student, parent and staff-facing academic reports 
  • Support with maintaining classroom and shared-space technology (projectors, copiers, and computers etc.) to make teaching better and easier for all staff

Facilities and Purchasing

  • Support the execution of the Operations Manager’s detailed inventory systems to ensure the school always has the materials necessary to function without downtime
  • Work with teammates to maintain the school’s physical condition - ensure that all spaces are neat, organized, beautiful and optimized for their designated use
  • Assist with purchasing materials and supplies

Operational Support

  • Respond urgently and in-the-moment to support academic programming and student needs  
  • Help oversee and execute whole-school systems including arrival, lunch, dismissal, and transportation (specific duties will vary by campus)
  • Assist teammates in planning and executing all student and family events, including family conferences, field trips, high-stakes testing etc.
  • Act as the first point of contact for all scholar health needs
  • Manage school calendars
  • Flexibility to work evenings and weekends as needed
  • Additional support at the request of the Director of Operations

  • Ability to prioritize appropriately, with a demonstrated ability to distinguish between the urgent and the important

  • Ability to take on physical tasks such as moving boxes, packages, and rearranging furniture

  • Some prior work experience in a customer service oriented field preferred but not required - either as a receptionist, office manager, administrative employee, or in retail
  • Basic Excel and word processing proficiency is a plus
  • Bachelor’s degree required
  • Spanish, Cantonese, or Russian proficiency a plus

  • 312 scholars in kindergarten – second grade at the lower elementary school

  • 348 scholars in sixth – eighth grades at the middle school
  • 349 scholars in ninth-twelfth grade at the high school

Benefits and Compensation

  • Employees at Coney Island Prep are provided with salaries that are highly competitive, set through a lens of equity, and based on an individual’s skills and experiences relevant to the role. The salary for this role is $60,500. 
  • As a regular full time employee of Coney Island Prep, you will be eligible for benefits that include medical, dental, vision, and life insurance as well as a 403(b) retirement benefit package with match and Paid Family Leave.
  • Staff are provided with a MacBook Air and access to all the necessary technology and resources needed to succeed in their role.
