Skills Required:
- 3+ years of experience in Executive Assistance supporting international clients
- Excellent verbal and written communication skills
- High attention to detail and organizational skills
- Strong time management and ability to meet deadlines
- Exceptional interpersonal and customer service abilities
What will you do?
Daily
- Organize and prioritize emails
- Email follow-ups
- Daily task prioritization, reminders
- Helping with scheduling conflicts, rescheduling
- Sync calendars with Apple Calendar for family purposes
- Keep folders and documents organized
- Daily entry of client meetings, work completion, timing into Airtable
- Respond to client requests as appropriate
Weekly
- Project coordination (Motion)
- Rotary calendar + blog posts (Wordpress)
- Liaising with various vendors, developers, Upwork individuals
- Track expenses, reimbursements, receipts
Monthly
- Response to bookkeepers, CPA
- Download and share entity bank and Amex statements (can give read-only access?)
- Federal, state forms, filings, rules research
- Research
- Presentations, simple marketing flyers (occasional)
- Travel booking
- Help optimize, streamline tech stack
Personal
- Gift buying
- Holiday cards
- Event coordination
- Family events, schedule
