Bid and Proposal Writer

Location: Cape Town 

Reporting Line: Commercial Director

Working Practices: Hybrid. Monday and Thursday in office - remaining days remote. 

Contract type: Permanent

Job summary:

As a Bid and Proposal Writer, you’ll be a key member of a high-performing sales team driving the Company's growth strategy in EMEA and the US. You will be writing compelling and winning proposals to position the OES group competitively as leaders in the digital learning space. Key Responsibilities

  • Proposal development and management
    • Lead the creation of RFPs, tenders, proposals, presentations and other business development collateral. Craft compelling value propositions, win themes and competitive strategies for the specific client and opportunity. 
    • Coordinate and project- manage the end-to-end bidding process, starting from the analysis of tender requirements, up to proposal preparation, and through to final submission. Ensure that all legal documentation is signed by appropriate executives, and that all required submissions are uploaded on correct portals well within deadlines.
    • Work with the Sales Team to establish an official tender response process.
    • Proposal development: Oversee the development of comprehensive and persuasive tender proposals. Ensure that content is accurate, compelling, and compliant with client specifications and that it has received appropriate internal sign-offs.
    • Stakeholder management: Engage and collaborate with internal teams, senior management, subject matter experts and any other relevant stakeholders in the business to ensure a productive content-gathering process and effective communication.
    • Risk assessment and mitigation: Together with internal colleagues across business divisions, identify and address potential risks associated with bid requirements or contract delivery, such as legal or contractual obligations, financial risks, or technical challenges to determine the viability of bidding.
    • Plan ahead: monitor numerous tender notification portals across market territories, downloading tender packs and listing the opportunities for discussion and decision-making with the sales team. Maintain a calendar of proposals in the pipeline, and keep the bid sheet (past, present, and future) updated in fine detail. 
  • Research
    • Continuous research: Stay updated on industry trends, competitors, bidding best practices, and other emerging technologies.
    • Conduct client, industry and competitor research to demonstrate excellent understanding of the client and inform the competitive positioning of a proposal for a more tailored approach.
  • Content Management
    • Develop and maintain content for a knowledge base and response library, including case studies, workflows, and methodologies.
  • Other sales enablement activities -- during periods of downtime, there will be opportunities to shift focus to other tasks.
    • Establish relationships with Procurement offices in our target markets.
    • Support conference/event management.

Gather insights and leads to support the development of targeted campaigns

    • Degree or equivalent experience in business, communications or related discipline. 
    • Proven experience leading the development of B2B RFPs, proposals, tenders and pitch presentations, ideally from a bid team or successful sales/client management background. 
    • Outstanding business writing skills, with the ability to develop win strategies and write compelling sales/marketing collateral. 
    • Strong project management experience.
    • Ability to work collaboratively with cross-functional teams and build relationships with internal and external stakeholders.
    • Strategic and commercial mindset, with strong analytical and problem-solving skills. 
    • Strong proficiency in Google Drive, Docs, Sheets, Meets, as well as Microsoft Word, Excel, PowerPoint, Outlook and Teams.
