Talent Onboarding & Experience Specialist

The Talent Onboarding & Experience Specialist will play a key role in ensuring smooth and successful onboarding processes for new Team Members for our Corporate division. This role will focus on coordination of all onboarding activities, assisting with the setup and transition of new hires, and maintaining a seamless experience for both internal and external stakeholders. This role will play an integral part in our overall Team Member experience through involvement in key HR programs and initiatives. This position requires excellent multi-tasking skills, organization, strong communication abilities, and a willingness to learn.

What you have already achieved: (Requirements) 

  • 2+ years of relevant experience with knowledge of HR policies, procedures, and regulations. 
  • Proven experience onboarding new talent. 
  • Strong customer service background with a demonstrated ability to support and guide new hires and stakeholders through critical processes.  
  • Expertise in multi-tasking, managing multiple priorities, exemplary organizational skills, and strong attention to detail and commitment to accuracy. 
  • Ability to work independently and as part of a team and able to hold others accountable to tasking and deadlines (strong follow up skills). 
  • Ability to adapt to changing needs and work expectations in a fast paced environment.
  • High energy, creative and able to develop engaging employee experiences.
  • Strong writing and editing skills and familiarity with content design tools. 
  • Proficiency with HR technology and software (HRIS) to manage employee data and onboarding documentation; prior experience with Greenhouse is preferred. 
  • Knowledge of Google Workspace is preferred.

What you are great at: (Responsibilities)

Onboarding: 

  • Support the overall employee experience, ensuring new team members feel welcome and integrated from day one. 
  • Facilitate the onboarding process for new hires for Corporate teams, ensuring a seamless and efficient transition; ensure all necessary tools, systems, and access are in place for new hires to begin their roles effectively on day one. 
  • Handle multiple onboarding projects and administrative tasks simultaneously, ensuring all deadlines are met. 
  • Collaborate with new hires,  hiring managers, and the People Team to ensure all documentation is completed accurately and on time. 
  • Diligently maintain onboarding records, ensuring compliance with internal policies and regulations (I9's, compliance training, etc.), maintaining a high level of confidentiality at all times.
  • Coordinate and deliver onboarding training and welcome sessions, both in-person and virtually.
  • Serve as the primary point of contact for hiring managers and newly hired Team Members by providing ongoing support by addressing questions and concerns during the onboarding period, offering guidance and support as needed, and escalating where appropriate. 
  • Maintain information in the onboarding platform and perform quarterly audits of the onboarding system to ensure accuracy and current/relevant information.
  • Order all welcome packages; participate in the design/selection process as applicable. 
  • Monitor the onboarding process, gather feedback, and make recommendations for program adjustments and realignments to enhance efficiency and overall employee satisfaction. 

Experience: 

  • Participate and spearhead employee experience projects and tasking as assigned. 
  • Assist with creating, managing, and distributing internal HR communication materials including but not limited to company slide decks and intranet content, ensuring information is accurate and consistent with company standards and aligns with culture. 
  • Manage HR content development and approvals process with relevant HR stakeholders.
  • Assist with key experience initiatives such as DLP culture days, engagement initiatives, celebrations, and recognition programs.
