Job Summary:
The HR Coordinator plays a vital role in the execution of daily HR operations, serving as the first point of contact for employees and supporting the entire HR team. This role handles administrative duties across HRIS, onboarding, events, and communication functions, always with a commitment to accuracy, professionalism, and confidentiality. The HR Coordinator acts as a cultural ambassador, providing exceptional service and organization that reflects EBC’s values and standards.
Key Responsibilities:
HRIS & Administrative Operations:
- Maintain accurate employee records and manage HRIS updates including new hires, terminations, PTO, and job changes.
- Run daily, weekly, and monthly reports as needed.
- Process terminations and ensure collection of company property.
- Monitor and maintain compliance dashboards, staff files, certifications and documentation.
- Maintain and update labor law posters to ensure compliance with federal, state, and local regulations.
- Order HR supplies, cards, business materials, and maintain HR office space.
Employee Experience & Communication:
- Serve as the first point of contact for employee questions and direct needs to appropriate HR team members.
- Respond to inbound communications including HR email inbox and requests (e.g., nametags, lockers, system access)
- Manage employee communications across platforms: newsletters, bulletin boards, TV monitors, Life at EBC, LinkedIn, flyers, etc.
- Order and manage employee gifts (welcome, wedding, bereavement, baby, etc.).
- Coordinate and maintain employee recognition programs (EBC’s Best, Leadership awards, Employees of the Year, etc.).
Benefits:
- Supports HR Manager with benefits administration including PTO balances, open enrollment, new hire enrollment, qualifying events and general inquiries.
Hiring & Onboarding:
- Post jobs internally and externally in coordination with recruiting and hiring managers.
- Assist with reference checks, interview scheduling, and job fairs.
- Lead onboarding tasks including I-9s, E-Verify, certifications, and HRIS setup.
- Conduct new hire first day onboarding and support full orientation alongside the Recruitment Manager by creating new hire gift bags, etc.
Training & Events Support:
- Coordinate CPR and internal training logistics and communication.
- Support planning and execution of employee events, birthday and other celebrations including the staff annual party, staff appreciation days, staff sundeck party, etc.
General Support & Team Collaboration:
- Maintain and update all computer records.
- Assist with mail distribution, parking spot assignments, and locker maintenance.
- Support ad hoc HR projects and feedback collection initiatives.
- Be a dependable, responsive, and collaborative member of the HR team.
- Work harmoniously and professionally with co-workers and supervisors
- A self-starter, follow directions thoroughly, understands employee’s service needs and requires minimal supervision
- Performs other duties as requested by management
Performance Indicators (KPIs):
- Timeliness and accuracy of HRIS and onboarding data
- Responsiveness to employee questions and support
- Completion of orientation tasks and compliance documents
- Quality and organization of HR materials and communication platforms
- Positive feedback from staff and HR team collaboration
- Understands basic federal and state regulations
- Maintain confidentiality and display excellent judgment at all times.
- Represent the department in a professional and respectful manner
Rate of Pay: $24.00 - $28.00 per hour
Required Skills & Competencies:
- Strong attention to detail, time management, and organization
- Excellent communication skills with a warm, customer-service focus
- Proficiency in Microsoft Office and HR systems
- Ability to maintain confidentiality and exercise discretion
- Self-motivated and dependable with a team-first attitude
Education & Experience:
- Bachelor’s degree in HR, Hospitality, or related field preferred
- 1–2 years of HR or hospitality industry experience preferred
- Experience with HRIS or payroll systems; Paycom experience is a plus
- Bilingual in Spanish preferred
- HR certification (PHR, SHRM-CP) preferred or willingness to obtain
Work Environment & Physical Requirements:
- Must be available to work onsite 5 days per week (Monday–Friday)
- Typical workweek is 40–50 hours
- Prolonged periods at a computer and sitting
