Role: Executive Assistant
Hours: 12am - 8am SAST
Job Summary:
Our client is looking for an experienced Executive Assistant to provide high-level support to their CEO/Founder. The ideal candidate will have a strong background in administrative support, exceptional proficiency in Excel, and expertise in Zoho CRM and Zoho Meeting. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Manage the CEO's calendar, schedule meetings, and coordinate appointments using Zoho Meeting.
- Maintain and update Zoho CRM with accurate and up-to-date client information.
- Prepare reports, spreadsheets, and financial analyses using Excel.
- Handle email correspondence, draft communications, and follow up on tasks.
- Assist in preparing presentations, proposals, and business documents.
- Organize and maintain confidential files and records.
- Conduct research and compile data for decision-making processes.
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Support in project management, tracking deadlines, and ensuring deliverables are met.
- Perform other administrative tasks as needed to enhance productivity.
Required Qualifications & Skills:
- Proven experience as an Executive Assistant, preferably in the real estate industry.
- Strong proficiency in Microsoft Excel (advanced formulas, pivot tables, data analysis).
- Hands-on experience with Zoho CRM and Zoho Meeting.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- High level of discretion and professionalism in handling sensitive information.
- Ability to work independently and anticipate the needs of the CEO.
- Detail-oriented with strong problem-solving skills.
- Tech-savvy with the ability to learn new tools quickly.
Preferred Qualifications:
- Experience in the real estate sector or working with a real estate executive.
- Familiarity with other Zoho applications and automation tools.
- Background in financial reporting or real estate transactions.
