What You Can Look Forward To:



The Admin Assistant, Sales will mainly support the Sales Team and Senior VP, Water and provide efficient and effective support of critical administrative and organizational projects. The Admin Assistant, Sales must be able to assist and act in a confidential capacity, communicate well with tact and professionalism, and project a professional image at all times with all levels of internal personnel, client staff, and stakeholders. This role will be an exciting blend of administrative duties and working closely with our Sales Department.


What Will You Do?
  • Schedule meetings, manage calendar and organizing travel arrangements for SVP, Water.
  • Be able to work and effectively communicate with the international team to coordinate trips, events, meetings, transportation and accommodations.
  • Manage communication and ensure necessary approvals.
  • Support broader Sales department with internal administrative requests.
  • Processing expenses sheets and invoices for the team.
  • Prepare PowerPoint or similar presentations and Sales department collateral.
  • Prepare and distribute internal communications in coordination with Internal Communications Manager.
  • Meeting preparation including develop agenda, presentation for in-person and virtual meetings.
  • Record and distribute meeting actions/minutes and manage follow ups.
  • Follow up with clients and colleagues to ensure completion of previously agreed action items.
  • In conjunction with Events Committee, plan, execute, and organize departmental events throughout the year such as Quarterly Business Reviews (QBRS), Management off-sites, team building and workshops with logistical and catering requirements.
  • Plan, organize and execute customer meetings, as required.
  • Support Account Executives and Sales team in preparing for Partner and Customer events.
  • Liaise with Sales Enablement to support onboarding programs.
  • Meet and greet new starters on Day One and provide ongoing ‘buddy’ support. Train new staff on office equipment, policies, and procedures. Co-ordinate cross functional introductions.
  • Provide support during the roll-out of key training initiatives, projects and activities.
  • Manage SharePoint for the Sales Teams to ensure content is up to date and the structure is optimized.
  • Support administrative policies within the organization and within the office, recommending changes as appropriate.
  • All other projects and duties as assigned


What You Bring to the Table:
  • Bachelor’s degree (preferred) or equivalent related work experience
  • 5+ years of experience in a senior administrative support role
  • Positive attitude, with a passion for learning.
  • Highly organized and able to prioritize under pressure
  • Strong written & verbal communication skills
  • Proficient in Microsoft Word, PowerPoint, Excel, Outlook and Teams. Willingness to learn other software as needed
  • Ability to deal with highly confidential and sensitive information
  • Ability to task switch in a fast paced environment and anticipate last minute changes
  • Meticulous attention to detail and self-starter work ethic
  • Strong time management and organizational skills, ability to proactively solve problems and drive projects through to completion
  • Resourceful Team player who is also effective independently
  • Proactive approaches to problem-solving and strong decision-making capability
  • Adaptable and able to quickly embrace new ideas and methods

$70,000 - $82,000 a year
The below range is the range that we reasonably believe to be the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range and this range is only applicable for jobs to be performed in California. This range may be modified in the future. The salary range for this role is $70,000 to $82,000
