Maintain a very good working relationship with the service providers while developing synergies for service and competitive pricing.
Maintain and update local ocean freight, warehouse, and trucking related charges. This includes but is not limited to drayage, LTL trucking, bullet/NAC rates, LCL rates, and non-tariff demurrage/detention.
Facilitate regular meetings with local carriers. This includes but is not limited to ocean service providers, truckers, co-loaders, and internal parties pertinent to providing competitive service and rates.
When Origin/destination services are requested, request rates from origin/destination offices to present for customer approval and save relevant backup for retention purposes. This may be on a one-time basis or for on-going rates.
When freight rates are not available, request rates from carriers as needed. Agent to make sure we are mindful of cost along with service, aligning to the customer’s need. If we are unsure what the customer’s priority is, agent to ask the customer in on-going dialogue. Alignment with sales, where appropriate, is encouraged.
Align with product manager, when unsure, on required margins to sell new business. Important to understand the scope of business and allocated resources needed.
Support to sales and account management team on new opportunities with regards to pricing and service strategy.
Respond to pricing requests from local customers within 2 hours. Pricing to be provided same day unless unavailable, in which regular updates are to be provided to the customer. Respond to overseas rate requests with same day unless unavailable, in which regular updates are to be provided to destination.
Quotes to be prepared using the Quoting Tool or Approved Quote Format as per company policy.
Keep good relationship with Sales, Customer Service, and to collect feedback for each and every quote. Agent to log approval or rejection in quoting database regularly. For follow up due no response on internal quote requests, agent to follow up via email or phone within 1 day and again at 3 days. If no response is received after two follow ups, agent to mark the quote as rejected due to no response, after 10 days has elapsed. For external quote requests, follow up to be done next day and again at 3 days. If no response after 10 days, agent to reject in database due to no response.
Update and maintain a quote log with feedback for Market analysis.
Regular analysis of the market to gather as much information as possible (carriers, transit time, services used) to be able to quote better and get a high closing ratio.
Use data from Quoting Database and relevant information to report on potential customers and trending lanes. Keep department managers aware of services, market trends, market issues, with the purpose of business development.
Continual development of tools and newly developed process to optimize function in pricing.
Support operations on newly awarded business by sharing specific details and customer requirements with operations. Pricing agent to involve supervisors for transition, where appropriate. Pricing to create a shell file, to share with the customer, and provide this file to operations for any spot business awarded. In doing so, pricing agent to upload quote, approval, add quote reference to the file for tracking, and create TLIs where possible.
To keep all quotes submitted confidential and never disclose the information to anyone outside the department.
To make sure job is executed as per company guidelines and policies.
To always update the team with the GRI, PSS, current FSC, and rate fluctuations and changes whenever they occur.
Participate in company initiatives with goal of business development.
Other tasks/duties as deemed appropriate by your management team.
Oral and written proficiency in the English language
