The Role
We are seeking a highly organised and proactive Sponsor Success Coordinator to support the Sponsorship Sales team in delivering exceptional value to sponsors for our B2B conferences. The ideal candidate will be responsible for managing sponsor relationships, ensuring successful activation of sponsor benefits, and providing ongoing support to ensure that sponsors have a seamless experience before, during, and after each event. This role is key in enhancing sponsor satisfaction, driving renewals, and contributing to the overall success of our conference offerings.
Sponsor Onboarding and Relationship Management:
Act as the main point of contact for sponsors before, during, and after B2B conferences.
Coordinate the onboarding process for new sponsors, ensuring they fully understand the event logistics, benefits, and expectations.
Build and maintain strong relationships with sponsors to ensure their needs are met and expectations are exceeded.
Communicate with sponsors through written communications, online and in person
Sponsor Activation and Event Coordination:
Work closely with the sales and event operations teams to ensure sponsors receive all contracted deliverables (e.g., branding opportunities, speaking slots, booth placement).
Assist sponsors with event logistics, including booth setup, promotional materials, and other event-related requirements.
Monitor sponsor activation throughout the event to ensure all sponsorship benefits are properly executed.
Communication and Support:
Provide exceptional customer service to sponsors by answering enquiries and resolving issues promptly.
Develop clear communication plans and timelines for sponsors, keeping them informed of key dates and event details.
Ensure sponsors receive timely and relevant updates regarding event changes, deadlines, and promotional opportunities.
Onsite
Manage onsite delivery of sponsor activations; ensure all sponsorship contract activations are delivered onsite and liaise with customers as required to address any questions/ concerns
Work with Operations: to address and resolve immediately any issues with deliverables. Act as a problem solver and the point contact for customers
Post-Event Engagement and Reporting:
Gather feedback from sponsors post-event to assess satisfaction and identify opportunities for improvement.
Assist in the creation of post-event reports, analysing sponsor performance and event impact to provide valuable insights to the sales team.
Work with sponsors to discuss future opportunities, aiming to increase retention and renewals for future events.
Administrative Support and CRM Management:
Maintain accurate sponsor records and contracts within the CRM system, ensuring all information is up to date.
Provide administrative support to the Sponsorship Sales team, assisting with contract creation, invoicing, and event documentation.

KNOWLEDGE, EXPERIENCE AND SKILLS
We are looking for an individual who is highly motivated, driven, and have a passion to be part of a fast-paced, successful team. Being a strong team player is also important as well as someone who is happy to work flexibly.
Bachelor’s degree in Business, Event Management, or a related field.
2+ years of experience in a customer-facing role, preferably in a B2B conference, event, or sponsorship environment.
Strong organisational and project management skills with the ability to manage multiple sponsors and tasks simultaneously.
Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships with sponsors and internal teams.
Experience with CRM tools (e.g., Salesforce) and event management platforms is a plus.
Detail-oriented, proactive, and customer service-driven with a problem-solving mindset.
Ability to work under pressure and manage competing priorities in a fast-paced environment
Experience in B2B sponsorship sales or event marketing.
Familiarity with conference production, including logistics, digital tools, and virtual event platforms.
Knowledge of sponsorship sales processes and activation strategies.
