About the role
Flat6labs Office Manager is responsible for the organization and coordination of administrative operations, procedures, and resources to facilitate organizational effectiveness and efficiency of the Egypt office.
Main Responsibilities:
Office Management
- Manage the daily operations of the office, including supplies, facilities, vendors, and equipment maintenance.
- Oversee administrative staff and coordinate office activities to ensure a smooth workflow.
- Maintain office policies and procedures, ensuring compliance with the company standards and regulations.
- Act as the main point of contact for office-related matters such as building management, mail, deliveries, and supplies.
- Organize and maintain physical and digital filing systems and ensure data accuracy and confidentiality.
Team Support
- Provide comprehensive administrative support to Flat6Labs teams.
- Coordinate and book domestic and international travel (flights, accommodations, transport, visas).
- Manage executive calendars, schedule meetings, and coordinate appointments across multiple time zones.
Event & Meeting Coordination
- Plan and coordinate internal and external meetings, including team off-sites, board meetings, and client visits.
- Manage logistics for events such as venue bookings, catering, and materials preparation.
Financial Support
- Support light bookkeeping tasks such as invoice tracking, expense reports, and petty cash reconciliation.
- Liaise with facility management vendors, including cleaning, catering, and security services
- Perform miscellaneous job-related duties as assigned.
- Proven experience, at least 5 years, as an Office Manager, Executive Assistant, or similar administrative role.
- Excellent organizational and multitasking skills with a strong attention to detail.
- Proficiency in MS Office (Word, Excel, Outlook) and productivity tools (e.g., Google Workspace, Zoom, calendar apps).
- Experience handling travel arrangements and calendar management for senior leadership.
- Strong communication skills, both written and verbal.
- Discretion and confidentiality when handling sensitive information.
- Ability to work independently, take initiative, and problem-solve in a dynamic environment.
