Role Overview

Columbia/Barnard Hillel is seeking an organized, data-driven, and strategically minded individual with strong communication and bookkeeping skills to serve as the Data and Finance Coordinator. This role will report to the Director of Operations and work closely with the Development and Student Life teams to provide and interpret data, process payroll, manage financial operations, and more. This is a full-time in-person position in New York City.

What You’ll Do

Data Responsibilities

  • Analyze data across systems to identify opportunities for growth in operations, development, and student life.
  • Conduct regular data cleaning and updates across organizational software platforms.
  • Reconcile data between Little Green Light, QuickBooks, and Chase every two months.
  • Build queries and generate custom reports in user-friendly formats.
  • Review data to advise the Director of Operations and Director of Development on areas of need.
  • Manage multiple projects simultaneously with accuracy and attention to detail.
  • Learn new software efficiently and troubleshoot challenges effectively.
  • Maintain best practices for data management, including proper coding and account organization.

Finance Responsibilities

  • Oversee and maintain accounting tasks such as writing checks, entering data into QuickBooks, and generating financial reports.
  • Reconcile donations, grants, and allocations between donor and accounting software.
  • Prepare and deposit all incoming funds.
  • Generate monthly reports detailing income breakdown by account and department.
  • Ensure timely payment of invoices and maintain vendor relationships.
  • Keep accurate financial files and records in compliance with 990 reporting requirements.
  • Process and track deposits and expenses for programs, ensuring timely reimbursements for staff and students.
  • Generate P&L reports and verify proper categorization.
  • Act as a liaison between the CPA and Director of Operations during the annual audit.
  • Ensure all financial transactions are recorded and coded accurately and efficiently.

Personnel and Payroll Administration

  • Initiate employee onboarding processes in Paycom.
  • Coordinate and provide benefits documentation to employees.
  • Submit payroll hours, vacation time, sick time, and other related updates bi-weekly.
  • Process payroll on a bi-weekly basis.

What You’ll Bring

  • Experience with data entry and report generation.
  • Ability to generate reports and extrapolate data to advise the Director of Operations and Director of Development on trends.
  • Ability to generate reports for accountants to complete yearly audits in compliance with 990 reporting requirements.
  • Self-motivated and able to work both independently and effectively in a team environment.
  • Familiarity with development/fundraising software (experience with Little Green Light is a plus).
  • Proficiency in Windows, Microsoft Office (Word, Excel, PowerPoint), and Google Workspace; ability to learn and navigate various databases.
  • At least 3 years of experience in budget and financial management, organizational administration, or operations in a non-profit or academic setting.
  • Bachelor’s degree in accounting, finance, or a related field is required.
  • Competency with QuickBooks and experience as a bookkeeper.

On a Day-to-Day Basis

Here’s what a typical day in the role of Data and Finance Coordinator may look like:

  • Independent Planning: Start your day by reviewing your task list and prioritizing key responsibilities for the day.
  • Payroll Management: Process payroll efficiently, ensuring all hours, vacation, and sick time are accurately entered.
  • Data Analysis: Meet with senior leadership periodically to review and discuss current trends in finance, development, and engagement data, providing actionable insights.
  • Finance Operations: Reconcile invoices from various vendors, prepare checks for payment, and ensure all transactions are accurately recorded in QuickBooks.
  • Donor Relations: Review recent donor activity in Little Green Light, pull reports to analyze trends, and share key insights with the Development Team.
  • Problem-Solving: Address any challenges that arise during the day—whether it’s troubleshooting software issues, refining financial reports, or organizing data for upcoming
