Work Schedule: Hybrid Schedule: Monday, Tuesday, and Thursday (On-site) / Wednesday and Friday (Remote)

Position Summary:
HousingPlus is hiring an Executive Assistant to the Chief Program Officer (CPO) to join its growing Transitional and Supportive Housing Department. Reporting directly to the CPO, this new position will provide crucial support assisting the CPO’s scheduling, communications, and other administrative and operational needs, as well as providing support across the Transitional and Permanent Supportive Housing departments.
This role offers an ideal opportunity for a candidate with administrative experience, organizational skills and impeccable attention to detail and will provide high-level administrative support to the Chief Program Officer.
The Executive Assistant to the CPO demonstrates strong communication skills including verbal, written, and presentation skills as well as demonstrate the ability to exercise good judgment and handle confidential matters with discretion. You are a team player with a willingness to assist and collaborate with your colleagues. You have a passion for the mission and work of HousingPlus.
Responsibilities:
· Provides high-level administrative support and assistance to the Chief Program Officer (CPO).
· Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.
· Arranges travel and accommodations.
· Schedules and attends meetings on behalf of the CPO, taking notes and recording minutes.
· Receives incoming communication or memos on behalf of the CPO, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
· Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
· Provides day-to-day administrative support to the CPO who oversees the entire program department of over 65 individuals including full time, part time, per-diem and temp staff.
· Assist with CPO calendar and schedule.
· Assist with scheduling staff training on office calendar.
· Sit it on meetings with CPO to take notes and provide follow up.
· Assist with meeting requests with the CPO.
· Assist with preparing charts, tables and other documents as needed by the CPO.
· Assist with organizing documents and materials needed for meetings and presentations.
· Receive messages and make calls on behalf of the CPO.
· Performs additional duties as assigned by the CPO.
Required Skills/Abilities:
· Excellent verbal and written communication skills.
· Excellent organizational skills and attention to detail.
· Excellent time management skills with a proven ability to meet deadlines.
· Ability to function well in a high-paced and at times stressful environment.
· Extensive knowledge of office administration, clerical procedure, and recordkeeping systems.
· Must maintain a professional demeanor.
· Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
Education and Experience:
· Bachelor’s degree in Business or Non-profit Administration, Social Sciences or Relevant Field.
· Master’s degree preferred.
· At least four years of related experience required.
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
