Legal Operations Assistant

The Opportunity:
  • Join our transformational Office of General Counsel (OGC) team, recently recognised with the Innovation Award at the 2025 ILANZ Awards and named one of New Zealand’s top four small inhouse legal teams. Our OGC team is known for delivering exceptional results in a fast-paced, dynamic environment where strategy, innovation and commercial acumen is at the core of everything we do.  We’re looking for a tech-savvy, detail-oriented Legal Operations Assistant to play a key part in ensuring the team runs seamlessly. This role blends legal operations with executive support, giving you the chance to optimise workflows, assist with legal documents and presentations, and support the General Counsel’s priorities.


Day to day you will:
  • Optimise legal tools and workflows to keep the OGC team efficient.
  • Organise templates and resources, ensuring everything is current and accessible.
  • Be the go-to for creating polished, visually engaging documents and presentations.
  • Manage the General Counsel’s calendar, scheduling meetings, coordinating travel, and aligning priorities.
  • Support the preparation and maintenance of documents for internal audits under the firm’s system of quality management, ensuring accuracy and completeness.
  • Anticipate needs and provide proactive support to the OGC team.
  • Assist with budgeting and managing expense reimbursements.
  • Offer project management support for legal initiatives and process improvements.
  • Handle sensitive information with discretion and confidentiality. 


About you:
  • Experience: At least 2 years in a legal operations, administrative, or legal assistant role, preferably in-house or in a professional services environment. You’re comfortable managing multiple tasks and deadlines with precision.
  • Tech-Savvy: Proficient in Microsoft Office (Word, PowerPoint) and familiarity with collaboration platforms (SharePoint, Teams). You’re quick to pick up new tools to improve workflows.
  • Presentation and Document Expertise: You know how to create polished, professional documents and presentations, making sure they align with brand guidelines and are visually appealing.
  • Executive Support: You have experience with calendar management, travel coordination, and expense reporting.
  • Confidentiality: You understand the importance of discretion when handling confidential information.
  • Communication: You communicate clearly and professionally, both written and verbally, and are comfortable collaborating with cross-functional teams.
  • Proactive & Resourceful: You take ownership of your work and are always looking for ways to improve.
  • Team Player: You enjoy working in a collaborative setting and are always ready to pitch when needed.
