The primary goal of this role is:
To build and manage the day-to-day systems that keep Mahmee’s Care Team operating smoothly and efficiently. Success in this role means care team members are scheduled and supported consistently, administrative workflows are streamlined, and clinical leaders are able to focus their time on mentoring and delivering care — not coordinating logistics. Within 90 days, the Care Logistics Manager will have established baseline scheduling systems, coordinated onboarding, and credentialing for new team members, and implemented performance-tracking and professional development infrastructure across service lines.
You must have this knowledge:- Understanding of care delivery operations in a healthcare or clinical services setting.
- Familiarity with HR or people operations practices (e.g. onboarding, performance review workflows).
- Knowledge of scheduling tools and documentation systems.
- Awareness of credentialing/licensing processes for healthcare providers.
- General understanding of interdisciplinary care team dynamics.
You must have these skills:- Excellent project and time management skills — able to manage many moving parts without dropping details.
- Clear and confident written and verbal communication.
- Strong systems thinking — able to build workflows and SOPs that scale.
- Diplomacy and judgment — able to work across teams and surface issues constructively.
- Proficiency in tools like Google Workspace, Slack, and scheduling/project management platforms.
Your key responsibilities will be:- Create and maintain clinician schedules across all care teams, ensuring adequate coverage and visibility for the Director of Care and Care Team Leads.
- Coordinate onboarding, offboarding, and credentialing documentation for all care team staff in partnership with HR.
- Track time-off requests, approve time cards during payroll, and manage scheduling adjustments with transparency and fairness.
- Support the Director of Care with care team performance review logistics, peer review coordination, and internal communication planning.
- Identify operational gaps and inefficiencies in care team workflows and propose solutions to improve coordination and scalability.
