This is an exciting opportunity for an experienced Maintenance Coordinator to join a dynamic and fast-growing property management company, working with a team of dedicated and driven professionals in a collaborative and forward-thinking environment.

With an innovative, transparent, and flexible approach, they offer real-time access to owners and property reports, allowing clients to stay updated on the performance of their rental homes at any time.

 

Overall purpose and responsibilities of the role:

The Remote Maintenance Coordinator manages maintenance requests, coordinates repairs with vendors, and ensures timely service for rental properties. This role requires strong problem-solving skills, communication abilities, and attention to detail.

 

Duties and Responsibilities:

Work Order Management

  • Receive and prioritize maintenance requests.
  • Assign work orders to vendors and track progress.
  • Communicate status updates to tenants and property owners.

 

Vendor Coordination

  • Schedule and follow up with contractors on repairs.
  • Obtain quotes and ensure cost-effective solutions.
  • Maintain vendor records and compliance.

 

Tenant & Owner Communication

  • Answer and manage incoming maintenance-related phone calls.
  • Respond to maintenance inquiries and provide updates.
  • Explain maintenance policies and coordinate access for repairs.
  • Gather and analyze data, including tenant-reported maintenance issues.
  • Collect relevant photos and details to diagnose maintenance problems and coordinate necessary repairs.

 

Budget & Invoice Management

  • Review vendor invoices and approve payments.
  • Monitor maintenance expenses and identify cost-saving opportunities.

 

Software & Documentation

  • Use property management software (AppFolio, Buildium, Yardi, etc.)
  • Maintain digital records of work orders and completed repairs.

 

Emergency Handling

  • Coordinate urgent repairs by dispatching appropriate vendors.
  • Ensure timely responses for critical maintenance issues.
  • Strong English communication skills (verbal & written), with the ability to handle tenant concerns and complaints effectively.
  • Proven problem-solving skills, especially in high-pressure situations involving tenant grievances.
  • Ability to follow detailed processes and instructions, with strong organizational skills.
  • Familiarity with property management software is advantageous (training will be provided).
  • Ability to work independently and multitask.
  • Strong, stable internet connection and a quiet work environment suitable for handling calls. 
  • Collaborative yet self-sufficient, capable of working in a fast-paced, small-team environment

Job type: Permanent

Emp type: Direct hire; Full-time

Schedule: Monday to Friday, 9:00 PM to 6:00 AM Philippine time

Location: Remote / Work from home
