EPIC Resort Destinations is building the World's first Mattel Adventure Park in Glendale, Arizona and we need you!
We're on the lookout for a Project Administration Assistant who will be part of the project management team and liaison between our teams to keep our projects on track and moving forward. If spreadsheets, schedules, and timelines get your heart racing as much as a roller coaster launch does, then you might just be the superhero sidekick our project management team needs!
What you’ll be doing:
Project Coordination:
- Assisting project managers in planning, scheduling, and monitoring project activities.
- Coordinating with cross-functional teams, including design, construction, marketing, and operations, to ensure project milestones are met.
- Tracking project progress, updating project timelines, and communicating updates to stakeholders.
Documentation and Reporting:
- Maintaining accurate project documentation, including contracts, permits, budgets, and project plans.
- Organizing and maintaining project files, ensuring easy access to relevant information for the project team.
Communication:
- Liaising with vendors, suppliers, and contractors to gather necessary information, quotes, and progress updates.
- Assisting in drafting correspondence, memos, and emails related to project updates and requirements.
Meeting and Event Coordination:
- Scheduling and coordinating project meetings, including preparing agendas, capturing meeting minutes, and following up on action items.
- Assisting in organizing project-related events, workshops, and presentations.
- Attending site walkthroughs and meetings where PPE (personal protective equipment) will be required, will include but not limited to hard hat, steel toed shoes, vest, safety glasses, etc.
Administrative Support:
- Providing general administrative support to the project management team, including calendar management, travel arrangements, and expense reporting.
- Assisting in maintaining project management tools and software, ensuring accurate and up-to-date information.
- Reporting to and assisting the Sr. Project Manager in tracking, reporting and overseeing administration as assigned.
Who are we looking for?
- Multitasking, exceptional organizational skills, team collaboration and a positive attitude
- Knowledge of building materials and finishes a plus.
- Previous experience as an administrative assistant or coordinator in the construction industry, commercial and/or residential preferred.
- Proficient in Microsoft Office and apt to learning new software.
- Excellent communication with a sharp eye for written detail.
- You will have a high school diploma or equivalent.
