About the Role

This part-time position (10–20 hours per week) is ideal for someone who thrives on strategic coordination and hands-on execution. As our Strategic Executive Assistant, you’ll work directly with the CEO to streamline operations, tackle complex challenges, and drive efficiency—both professionally and personally.

In-Person Requirement: You will be expected to work at least four days per week at our coworking space, Temescal Works in Oakland, to facilitate collaboration and maintain our high-impact, balanced work culture.

Key Responsibilities

Executive Efficiency & Strategic Problem-Solving

  • Calendar Mastery: Own and optimize the CEO’s schedule—balancing business meetings, personal commitments, and key networking events.
  • Strategic Check-Ins: Organize daily/weekly briefings to align on priorities and proactively address emerging challenges.
  • Focus Management: Safeguard essential focus time to ensure strategic alignment and productivity.

Operational & Communication Support

  • Correspondence: Draft and manage emails, proposals, and follow-ups with clarity and professionalism.
  • Team Coordination: Act as the primary liaison between remote team members, clients, and collaborators, using tools like Slack, Zoom, Notion, and Jira.
  • Project Tracking: Keep project management systems updated to monitor priorities and deadlines.

Relationship Building & Community Engagement

  • On-Site Support: Provide in-person assistance at Temescal Works to ensure smooth work sessions and prompt administrative support.
  • Networking: Organize events, lunches, and coffee meetings to foster strong partnerships and industry connections.
  • Accountability Sessions: Facilitate daily check-ins to keep the CEO aligned with strategic objectives.

Process Optimization & System Building

  • Efficiency Enhancements: Identify operational gaps and propose innovative systems for better time and task management.
  • SOP Development: Create and document standard operating procedures to streamline recurring processes.

Special Projects & Additional Support

  • Initiative Launches: Assist with event planning, research, and local errands as needed.
  • Growth Projects: Support new company initiatives and contribute to the CEO’s personal development projects.

Preferred Experience

• Prior experience as an Executive Assistant, Chief of Staff, or Operations Coordinator.
• Background in startups or rapidly growing companies is a plus.


Compensation & Details

Part-Time Commitment: 10–20 hours per week
Competitive Hourly Rate: We offer a competitive hourly rate, with our budget for this role at around $60K/year for the right candidate.
Location: Primarily in-person at Temescal Works in Oakland (minimum four days per week), with some remote flexibility
