Wholesale Department Support

We are a growing ecommerce brand with a thriving wholesale department. We are seeking a dedicated and detail-oriented Virtual Assistant (VA) to join our team and play a pivotal role in supporting and expanding our wholesale operations. If you are familiar with Shopify, have strong organizational skills, and excel in communication and problem-solving, we want to hear from you!

Key Responsibilities:

1. Order Entry and Management:
• Accurately enter and process wholesale orders into Shopify.
• Add and review detailed notes on orders to ensure accuracy and clarity.
• Track and monitor the performance of purchase orders (POs) sent to production, flagging potential issues proactively.
2. Wholesale Account Support:
• Collaborate closely with wholesale account managers to:
• Take detailed notes during customer meetings (both existing and potential new accounts).
• Provide regular updates and feedback on the status of orders in production.
• Communicate potential delays or concerns to wholesale account managers and customers in a timely manner.
3. Retail Store Coordination:
• Manage retail store instructions, including creating and organizing pack-outs for separate shipments to multiple stores from a single bulk order.
• Ensure compliance with customer-specific packing and shipping guidelines.
• Ordering hangtags, hangers or other special accessories for customer orders.
4. Workflow Improvement:
• Identify pain points in current workflows and recommend actionable solutions to streamline and enhance efficiency.
• Collaborate with the production team and fulfillment center to implement improvements in order-taking and communication processes.
5. Cross-Department Collaboration:
• Work alongside wholesale managers, inventory management teams, and production teams to ensure seamless execution of wholesale orders.
• Contribute to the overall improvement and growth of the wholesale department by taking ownership of order entry, processing, and monitoring responsibilities.

Preferred Skills & Qualifications:

• Shopify Expertise: Familiarity with Shopify, including order entry and note management.
• Attention to Detail: Strong ability to manage multiple tasks with a focus on accuracy.
• Experience in Retail Coordination: Knowledge of retail store instructions, pack-outs, and managing shipments to multiple locations.
• Communication Skills: Excellent verbal and written communication skills to coordinate with account managers, production teams, and customers.
• Problem-Solving: Ability to flag potential issues and provide solutions to keep orders on track.
• Process Improvement: Experience in identifying workflow inefficiencies and implementing effective changes.
• Team Collaboration: Proven ability to work in a team-oriented environment, supporting multiple departments and stakeholders.
