Production Coordinator

NBC News Group Operations and Technology Production Management team is seeking a Production Coordinator who will provide comprehensive support to Production Managers and a Manager of Production Analysis. This role is integral to the success of our productions, ensuring that all logistical and administrative tasks are handled efficiently. The ideal candidate will be organized, proactive, and capable of multitasking in a fast-paced environment.

What You’ll Do:

• Event Coordination: Provide logistical support for large-scale events and remote shows, including scheduling, equipment coordination, and vendor management.
• Operational Support: Collaborate with Production and Technical Managers to implement production plans and ensure all technical and operational needs are met.
• Travel and Logistics: Organize travel and accommodation arrangements for production teams and talent and manage the shipping and packing of materials and equipment.
• Budget and Finance Assistance: Support the Production Finance team with budget tracking, expense reporting, and invoice processing, ensuring accuracy and timeliness in financial documentation. Dealing with highly confidential information.
• Communication: Act as a key liaison between production teams, vendors, and other departments to facilitate smooth operations and resolve any issues.
• Technology Oversight: Assist in setting up and managing production technology and equipment, ensuring systems are fully operational and properly configured for each event.
• Documentation: Maintain and organize production-related documents, including contracts, permits, and operational checklists.
• Problem-Solving: Anticipate potential issues and develop proactive solutions to ensure smooth production processes.

Basic Requirements 

• Education: Bachelor’s degree in broadcast communications, Media Studies, Operations Management, or a related field preferred.
• Experience: Must have at least 2 years of experience in a production coordination or operations role, particularly with large events or remote productions, which is highly desirable.
• Skills:
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and production management software.
  • Ability to manage logistical challenges and adapt to changing priorities.
  • Proactive attitude with a demonstrated ability to take initiative and drive tasks to completion.
  • Preferred experience in programs: Concur, SNAP, SAP
• Availability: Flexibility to work irregular hours, including evenings and weekends, as needed for production schedules

• Comfortable traveling
• Experience with Concur Travel & Expense reporting system is a plus.
