New England Donor Services (NEDS) coordinates organ and tissue donation in Connecticut, Maine, Massachusetts, New Hampshire, Rhode Island, the eastern counties of Vermont and Bermuda. Responsible for one of the largest of the 56 Organ Procurement Organizations (OPOs) that make up the nation’s donation system, NEDS works with over 200 hospitals and serves nearly 15 million people in our region, screening nearly 55,000 potential donor referrals annually. With approximately $110M in operating revenues, NEDS employs 348 clinical and non-clinical staff members throughout New England and across the country.

Job Description

The Quality Systems Specialist will be responsible for ensuring compliance with all internal Standard Operating
Procedures and all pertinent regulatory and accreditation requirements. Each level assumes competencies of the essential job functions of the previous level. Performs QA review of organ and tissue donor records and
associated data entry, collects, documents and distributes all relevant information to complete donor records and assure regulatory compliance. Ensures tissue processors and transplant centers are provided with all donor information required to help ensure the safety of recipients of donated organs and tissues.

Administrative:

  • Maintains a strong working knowledge of donor record requirements. Reviews and completes donor records, including all required data entry, test reporting and information sharing.
  • Identifies errors and omissions, and documents them in the relevant electronic systems. Collaborates with staff and management to resolve errors.
  • Acts as a resource to all employees who document in donor records and perform other critical functions.
  • Collaborates with QSS team members to develop a staffing schedule that ensures QSS cover 7 days a week, (not including holidays).
  • Maintains confidentiality of all donor and recipient information as described by current laws and regulations.
  • Monitors change control.
  • Implements the Quality Assessment and Performance Improvement Plan.
  • May include other responsibilities as assigned by Quality leadership, President and CEO and/or their designee.

Communication & Collaboration:

  • Collaborates with the Quality Systems team to support organizational quality, safety, process and performance improvement initiatives.
  • Serve as a liaison to other departments, leveraging opportunities for collaborative work.
  • Uses conflict resolution and negotiation skills to resolve issues that arise both within QSD and with other departments.

KNOWLEDGE, SKILLS & ABILITIES:

  • Organ/Tissue Experience: Strong working knowledge of organ and tissue donation processes and procedures preferred. Knowledge of regulations and standards applicable to organ and tissue donation preferred
  • Quality Improvement and Quality Tools: Familiarity with electronic quality management systems. Ability to learn NEDS' internal systems.
  • Computer & Application Literacy: Proficiency in Microsoft Office applications including Excel, SharePoint, VISIO and PowerPoint.
  • Time Management Skills: Ability to work productively both independently and as a team participant with accountability to all other team members for meeting agreed upon objectives. Demonstrated ability to meet deadlines. Excellent organizational skills, including the ability to manage a complex workload and effectively prioritize tasks and projects.
  • Interpersonal and Communication Skills: Excellent written and verbal communication skills. Exhibits enthusiasm toward, and supports others in the achievement of NEDS’s mission in a positive manner. Demonstrates a high degree of service and support to both external and internal customers. Ability to foster a collaborative team environment and model NEDS' Standards of Behavior.
  • Ideal candidates lives within an hour of Waltham, MA. This is a hybrid position with 1-2 days in the Waltham office required once orientation has been completed.  Weekend rotation coverage is required - 1 weekend every 7-8 weeks.

Qualifications

EDUCATION & EXPERIENCE:
Undergraduate degree preferred, or a minimum of one years’ experience in organ/tissue banking, medical records
or Quality Systems.
