Position Summary:

The Client Service Representative (CSR) is the first and last point of contact for our clients and patients. You’ll play a vital role in setting the tone for the entire visit — in person and over the phone — and ensuring every interaction is warm, organized, and efficient. Key Responsibilities:

  • Greet clients and patients warmly upon arrival and foster a welcoming atmosphere.

  • Answer multi-line phones, schedule appointments, and manage daily appointment flow.

  • Accurately check clients in and out, process payments, and provide invoices.

  • Maintain client records and ensure accurate data entry in the practice management system.

  • Communicate effectively with veterinary team members regarding client and patient needs.

  • Educate clients about basic services, hospital policies, and general pet care information.

  • Assist with clerical duties including email, faxing, record requests, and supply orders.

  • Maintain cleanliness and organization of the reception area and lobby.

  • Support a positive team environment by communicating respectfully and proactively.


Qualifications:

  • High school diploma or equivalent required.

  • Previous customer service experience (preferably in a veterinary or medical setting).

  • Strong communication and organizational skills.

  • Comfortable with computers and practice management software (experience with Cornerstone or similar systems is a plus).

  • Ability to handle emotional situations with compassion and professionalism.

  • Must be reliable, punctual, and able to work a flexible schedule, including some Saturdays.
