About the Role:

The client is seeking a proactive and highly organized Executive Assistant to the CEO to provide top-level support in a dynamic and fast-paced environment. This role requires a strategic partner who can manage day-to-day priorities, drive accountability across departments, and ensure the CEO is well-prepared and supported at all times.

Responsibilities:

  • Begin each day with a morning huddle to review the CEO’s calendar, priorities, and key action items.
  • Gather and deliver reports from various departments, ensuring accuracy and timeliness.
  • Support the CEO with ad hoc tasks and special projects as needed.
  • Maintain consistent availability during Texas (CST) business hours, with flexibility for occasional extended hours based on business needs.
    • Proven experience (5+ years) as an Executive Assistant supporting C-level executives, preferably in a fast-paced, growth-oriented environment.
    • Strong proficiency in AI tools and platforms to improve productivity, streamline tasks, and enhance decision-making processes (required).
    • Familiarity with NetSuite (preferred).
    • Advanced skills in Microsoft Excel and report generation, with the ability to analyze and present data clearly.
    • Demonstrated success in supporting visionary leaders, with the ability to anticipate needs and proactively manage priorities.
    • Experience in coordinating cross-functional reporting, ensuring departments deliver accurate and timely updates to executive leadership.
    • Skilled in domestic and international travel planning, including itinerary creation, logistics coordination, and cost tracking.
    • Strong background in meeting preparation, professional presentation development, note-taking, and follow-up coordination.
    • Proficient in expense reporting and financial tracking tools.
    • Willingness to work flexible hours, including occasional weekends when supporting executive travel or urgent priorities.
