Job Description

The HR Administrative Assistant plays a pivotal role in ensuring the efficient operation of the Human Resources department while also supporting other teams as needed. This position is ideal for an individual with some prior HR experience who thrives in a dynamic, fast-paced environment. The Administrative Assistant will handle a variety of administrative tasks, assist with HR-specific duties, and contribute to smooth communication across departments. A proactive, detail-oriented approach is essential to succeed in this role.

Human Resources Support:

  1. Assist with onboarding and offboarding processes, including preparing new hire documents, scheduling orientation, and ensuring timely completion of employee paperwork.
  2. Maintain and update employee records and HR databases, ensuring accuracy and confidentiality.
  3. Support recruitment efforts, including posting job openings, scheduling interviews, and corresponding with candidates.
  4. Help coordinate training sessions and HR-related events, ensuring all logistical needs are met.
  5. Prepare and distribute HR reports, memos, and communications as needed.

General Administrative Duties:

  1. Provide administrative support to key personnel, including managing schedules, handling correspondence, and preparing reports or presentations.
  2. Organize and maintain filing systems (physical and digital) to ensure records are easily accessible and up to date.
  3. Coordinate meetings, appointments, and events, handling all logistical details.
  4. Manage office supplies, ensuring necessary materials are ordered and available.
  5. Assist in travel arrangements, including booking flights, accommodation, and transportation.
  6. Perform data entry and maintain departmental databases.
  7. Support the coordination of internal and external meetings, including booking venues, preparing agendas, and distributing meeting minutes.

Cross-Departmental Support:

  1. Provide administrative assistance to other departments when needed, ensuring seamless workflow across the organization.

Qualifications

Experience & Skills:

  1. Prior experience in administrative roles
  2. Experience in HR functions (1-2 years)
  3. Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  4. Excellent written and verbal communication skills.
  5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with HR software or databases (preferred).
  6. A keen eye for detail and a proactive approach to problem-solving.

Legally eligible to work in the United States without restrictions.
