What You'll Do
The Medical Office Coordinator will have a crucial role in ensuring the smooth operation of our Queens-based clinics. You will complete administrative tasks, coordinate patient services, manage office workflows and inventory, and prioritize creating an excellent experience for our patients.
We would love to consider candidates with previous medical assisting experience to support us with providing outstanding care and service. This is not a requirement to be hired for this role, but a nice-to-have.
On a typical day, your responsibilities will include:
- Efficiently handling varying phone call volumes, transitioning smoothly between peak and quieter periods
- Optimizing and managing daily administrative operations of the clinic
- Coordinating patient appointments, registration, and billing processes
- Overseeing the maintenance of facilities, office equipment, and technologies
- Ensuring confidential patient information is handled discretely and in compliance with privacy laws
- Coordinating with the team to deliver optimal patient care and service
- Assisting with inventory management and ordering office and medical supplies
- Preparing and maintaining reports and documentation
- Providing translation assistance for Spanish-speaking patients as needed
- Managing internal calendars (Google) and supporting the organization of team events
- Supporting the onboarding of new employees

Knowledge
- Applied experience with office management procedures and billing
- Understanding of data entry and recordkeeping practices
- Awareness of compliance and regulatory requirements in a healthcare setting
- Some knowledge of healthcare systems and familiarity with healthcare terminology
Skills
- Excellent bilingual communication and interpersonal skills
- Strong critical thinking skills, able to identify underlying problems and develop effective solutions for our patients and team members
- Proficiency in MS Office, Google, or similar
- Ability to work independently and effectively within a team
- Prior experience supporting HR processes, including new hire orientation, maintaining employee records, benefits administration, and payroll, is a nice-to-have, but not required
- Prior experience in managing budgets and expense reporting is a nice-to-have, but not required
Abilities
- Availability to work onsite Monday - Friday, from 9am to 5pm (at Flushing and Jamaica locations)
- Strong customer service orientation with a focus on providing empathetic patient care
- Ability to maintain confidentiality of sensitive patient information
- Capacity to work under pressure in a fast-paced, patient-facing environment
- Competence in managing multiple tasks with attention to detail
- Able to act as a point of contact for internal and external queries from employees, vendors, and partners
What You’ll Have
- Bilingual fluency in Spanish and English
- Proven experience as an office coordinator or in a similar role, preferably in a healthcare setting
- Higher education or certification in healthcare is desirable, but not required
- To protect the safety of our patients, staff, and the community, we ask employees to maintain current vaccination against COVID-19
