Job Summary
Sun Tribe EPC (“ST EPC”) is Virginia’s premier utility scale Solar design and build firm focused on designing and constructing sub 20MW ground mounted Solar Photovoltaic (PV) facilities. The Project Management (PM) Department of Sun Tribe EPC is responsible for planning and executing construction projects pursuant to terms of turnkey engineering, procurement, and construction (EPC) agreements.
The Assistant Project Manager (APM) role provides administrative and project management support of solar PV projects, ensuring that projects are delivered safely, on time, within budget, and according to the company’s industry leading quality standards.
The Assistant Project Manager reports to the Vice President of Project Management Office.
Responsibilities
ADMINISTRATIVE DUTIES- Prepares and distributes Weekly and Monthly reports
- Sets up the Procore workspace during project initialization
- Maintains APM Procore tools (Emails, Submittals, RFIs, Transmittals, Punchlist, Meetings, Documents, Directory, Home, Prime Agreement) including monitoring and stakeholder engagement as required to ensure tools are being used in accordance with SOPs and best practices.
- Manages submittal workflows (Sun Tribe to Owner, Subcontractor to Sun Tribe) [Procore: submittals tool]
- Actively manages the flow of RFIs [Procore: RFI tool]
- Prepare meeting agendas. Records and distributes meeting minutes [Procore: Meetings tool]
- Effectively manages project documents to ensure accuracy, accessibility, comprehensiveness and fidelity [Procore: Documents tool]
- Compiles owner required reports including turnover packages. Ensures requirements are understood by relevant stakeholders and monitors adherence to prime agreement.
- Tracks on-site Safety Observations/Incidents. Ensures correct parties are aware of situations and understand steps needed for resolution.
- Manages Subcontractor deliverables pre-mobilization
PROJECT MANAGER SUPPORT- Tracks and ensures adherence to established plans, flags variation from plans for project team
- Acts as a thought partner for the Project Manager in developing project plans, critical decision making, managing change, mitigating risk, contingency planning, and developing owner and subcontractor management strategies
- Provides support to Project Managers during major service subcontracting RFP process including compilation of RFP exhibits, management of respondent questions, and compilation of results.
- Provides support to Project MC and SC sprints
- Contributes to ongoing maintenance of records on project restraints, risks & opportunities, and action items until resolution is achieved
- Leads development of Building, Electrical, and VDOT Permit applications
- Coordinate delivery dates of materials to project sites with OEMs

- Executes discrete scopes of the project execution plan as directed by the Project Manager
PROJECT MANAGEMENT- Inherits the responsibilities of the Project Manager in their absence
PROJECT TEAM RESPONSIBILITIES- Fosters a positive and collaborative work environment for all project stakeholders
- Effectively coordinates the activity of project stakeholders including SMEs to reduce friction and promote efficiency in the prosecution of project work

Basic Qualifications Required- Degree required: Bachelor's Degree in construction management, business, engineering or other technical related field is required
- A minimum two (2) years’ experience in construction and/or project management experience or related field required
Skills & Experience Preferred- Current, valid Driver’s License, eligible for corporate vehicle insurance coverage
- Strong personal organizational skills to manage time, prioritize effectively, and manage multiple tasks, projects, and deadlines
- Excellent interpersonal communication skills, both verbal and written
- High proficiency in the construction management platform Procore or similar
- Self-motivated to perpetually improve as an individual, to help others improve, and to contribute to improvement as part of a team
- Ability to read and manipulate MS Project scheduling software
- Ability to lead and work well with others in a collaborative team environment; capable of delegating effectively; capable of inspiring others to action

Working Conditions and Physical Requirements- Must be able to traverse and inspect all areas of jobsite in all types of weather; this may include walking, climbing, reaching, bending, crawling, or stretching
- Require travel to worksites and projects as needed

- Exposure to characteristic construction site hazards
