Back Office Administrator

Are you detail-oriented, highly organized, and passionate about creating efficient processes that drive organizational success? We’re looking for a proactive and dedicated Back Office Administrator to join our dynamic team and make a real impact.

As a Back Office Administrator at SurePay you will play a key role in ensuring the smooth operation of various departments, including Legal, Compliance and Sales. Your work will enhance team efficiency by centralizing key administrative tasks and building a knowledge base for recurring queries.

What you’ll do at SurePay

  • Customer Inquiry Management: Address (repetitive) customer queries, reducing the workload of the Business Development teams. Develop a robust FAQ to handle recurring inquiries independently over time.
  • General Contract Management: Draft and manage service agreements, NDAs, DPAs, and PoCs.
  • Client Acceptance Process: Oversee the onboarding process, ensuring compliance with all necessary requirements.
  • Data Management: Maintain and update HubSpot information, including contact details, billing addresses, and communication records.
  • Internal Communication: Act as the primary liaison between Finance and Business Operations/Customer Success.
  • ISAE/ISO Requests: Manage certification-related documentation and client requests.
  • Contract Migration and Indexation: Oversee contract migrations and ensure all documents are properly indexed for future reference.
  • Legal Support: Respond to client inquiries related to legal matters and maintain a dynamic legal FAQ/database for recurring issues.
  • Drive Organization: Ensure all digital assets are systematically managed and accessible.

What you’ll need

  • Experience: 1–2 years in a similar administrative role, ideally in a multicultural and customer-focused environment.
  • Education: at least MBO level education or equivalent experience.
  • Skills:
    • Strong computer proficiency, including Google Workspace.
    • Experience with HubSpot (preferred).
    • Excellent communication skills and the ability to multitask effectively.
    • An aptitude for both repetitive and ad-hoc tasks, with a proactive and meticulous approach.
    • Outstanding organizational skills and an eye for detail.
    • Ability to prioritize under tight deadlines.
    • Excellent written and verbal communication skills in English (Dutch knowledge is a plus).
