The Office Manager is pivotal to ensuring the smooth operation of the workplace and fostering a positive and productive office environment. At Teya Workplace, our three pillars are Community, Wellness and Learning. You will be Championing Teya culture by being a Teya brand ambassador, this role combines managerial, administrative, people-focused responsibilities and offers general support to teams and leadership.
Oversee daily office operations in Porto, ensuring a productive and efficient work environment.
Remotely manage administrative and operational functions of the Lisbon office, coordinating with local team members as needed.
Serve as the main point of contact for office-related matters, including facilities management, vendors, and suppliers.
Responsible for budget management, expense tracking, and procurement for both offices.
Support other teams with onboarding new employees, maintaining office policies, and assisting with employee engagement initiatives.
Ensure both offices comply with health, safety, and security regulations.
Organize meetings, events, and travel arrangements for staff as required.
Maintain office supplies and infrastructure to support operational needs.
Collaborate with leadership to improve office processes and workflows.
Proven experience as an Office Manager or in a similar administrative role.
Experience in opening and closing offices preferable
Strong organizational and multitasking skills with attention to detail.
Ability to effectively manage remote office operations.
Excellent communication and interpersonal skills.
Proficiency in office management software and tools (e.g., Microsoft Office, Google Workspace, project management platforms).
Ability to handle confidential information with discretion.
Fluency in Portuguese and proficiency in English (both written and spoken).
Willingness to travel occasionally between Porto and Lisbon as needed.
