We are looking for a reliable and proactive General Virtual Assistant to support both arms of the business in administrative, customer support, and marketing-related tasks. The General Virtual Assistant will play a vital role in supporting client intake for a mental health counseling practice, handling lead engagement on LinkedIn for a marketing agency, and managing general administrative responsibilities. Ideal for someone who is organized, tech-savvy, and eager to learn.
Job Responsibilities:
Mental Health Counseling Support (Counseling Services):
- Answer incoming phone calls professionally and warmly
- Qualify clients by verifying insurance coverage or confirming payment intentions
- Inform potential clients politely if their insurance is not accepted
- Schedule qualified clients for appointments using our online booking system
- Log appointment details and client information accurately
Marketing Support ( Marketing Experts):
- Monitor and respond to LinkedIn messages and inquiries
- Engage with prospects and provide preliminary information about our services
- Schedule meetings between leads and the business owner
- Assist with warm lead follow-ups and potential sales support
- Use internal tools to manage and track lead activity
General Administrative Tasks:
- Manage calendars and schedule appointments
- Organize and maintain email inboxes
- Perform basic data entry and documentation
Stay open to testing and learning new tools and systems as required
- Proficient in spoken and written English
- Strong organizational and time-management skills
- Reliable internet connection and a dedicated work setup
- Excellent communication and interpersonal skills
- Comfortable using online scheduling tools and web-based software
- Proactive and able to work independently with minimal supervision
- Familiarity with Google Workspace (Gmail, Calendar, Docs, etc.)
- Background in healthcare or customer service
- Familiarity with LinkedIn and social media tools
- Basic understanding of CRM systems (training provided)
