Job Description

The Administrative Assistant for the Physician Assistant Program reports to Director of the Physician Assistant Program. This role provides general administrative support to faculty and is responsible for implementing administrative systems and procedures in accordance with University of Mount Saint Vincent policies. This role also includes assisting with admissions processes, ensuring a smooth and efficient experience for prospective students.

Responsibilities:

  • Collaborate with academic and clinical administrative assistants, as well as other program-dedicated administrative staff.
  • Maintain an organized and efficient workflow process.
  • Order supplies based on program needs.
  • Assist with record-keeping of expenditures and requests.
  • Support the coordination of program events.
  • Submit work orders for repairs and manage equipment and supply inventory.
  • Draft correspondence under faculty guidance.
  • Schedule meetings and appointments.
  • Record, organize, and maintain minutes for all faculty meetings.
  • Facilitate exam proctoring.
  • Work closely with the admissions team and assist with accreditation tasks as assigned.
  • Perform other duties as assigned
  • Strong organizational skills with the ability to multitask effectively
  • Proficiency in Microsoft Office
  • Excellent verbal and written communication skills
  • Bachelor's degree required
