The Director of Advancement Operations reports directly to the Senior Vice President for Advancement and External Relations and provides strategic and operational leadership for the day-to-day functions of the Advancement Services team. This includes overseeing database management and integrity, prospect research, list generation, gift processing, reporting, and other related activities.

The Director is also responsible for managing workflows, processes, and systems associated with prospect management and the overall administration of the Advancement department. Additionally, the Director will supervise and provide leadership to the Assistant Director for Development Systems.

Responsibilities

Oversight of Gift Processing, Reporting and Reconciliation

  • Supervise gift acknowledgment and recognition processes to ensure timely and accurate preparation of acknowledgment letters and development materials, including the University’s Annual Report, other publications, and mailing lists for Advancement correspondence.
  • Collaborate with the Office of the Controller to establish and maintain effective policies and procedures for depositing gifts, recording contributions with required documentation, financial reconciliation, and reporting outcomes.
  • Assist the Senior Vice President in preparing materials and reports for quarterly meetings of the Board of Trustees’ Advancement Committee.
  • Monitor and analyze data and metrics to support Advancement priorities.
  • Maintain accurate records and reports for campaign/major gifts and commitments.
  • Oversee the annual stewardship process for campaign/major and endowed scholarship donor

Facilitation of the Moves Management Process

  • Leverage technology to manage solicitation strategies, process philanthropic commitments, and enhance alumni engagement opportunities.
  • Ensure coordinated progress between the prospect pipeline and gift opportunity pipeline.
  • Align Advancement Operations to support strategic engagement and cultivation of alumni and friends.
  • Provide input, support, and ideas for initiatives, decision-making, and communications.
  • Train Advancement team members in the effective use of systems and services to maintain data integrity.

Departmental Support

  • Assist the Senior Vice President with managing the departmental budget.
  • Organize and oversee the agenda for weekly team meetings.
  • Perform additional duties as assigned
  • Bachelor’s degree plus prior experience working in Development / Advancement.
  • Strong proficiency and knowledge of Raiser’s Edge fundraising database system, proficiency in Microsoft Office (Word, Excel, Access), Internet.
  • Ability to multi-take and meeting deadlines.
  • Excellent written and verbal communication skills.
  • Ability to build and maintain cohesive teams as well as build effective relationships with both internal and external stakeholders.
  • Ability to think strategically and develop both short and long-term plans.
  • Sensitivity to highly confidential information
  • Knowledge of prospect research best practices and standard research tools, as well as gift processing and accounting standard (IRS, CASE, FASB).
  • Financial experience including budget preparations, monitoring, and performance metrics is preferred.

The allotted salary range is $85,000 - $90,000
