Executive Assistant & Receptionist

We are seeking a highly organised and personable Executive Assistant & Receptionist to support our CEO while also serving as the welcoming face of our 100-person company. This dual role requires exceptional organisational skills, professionalism, and the ability to create a positive first impression for visitors.

Executive Support

  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements
  • Coordinate complex meeting logistics, including preparation of materials and follow-up
  • Process expense reports accurately and efficiently
  • Assist with office relocation coordination and planning
  • Handle confidential information with discretion and professionalism
  • Make restaurant reservations and coordinate catering for meetings and events

Reception & Office Management

  • Greet visitors and create a welcoming environment
  • Answer and direct incoming calls with a professional, friendly demeanour
  • Manage mail and package distribution
  • Maintain reception area and common spaces
  • Coordinate office supplies and equipment
  • Support general administrative needs across departments

Qualifications

  • Exceptional organisational and time management skills
  • Strong verbal and written communication abilities
  • Proficiency with Microsoft Office Suite and calendar management tools
  • Professional phone manner and customer service orientation
  • Ability to handle multiple priorities in a fast-paced environment
  • Problem-solving mindset and proactive approach
  • Discretion with confidential information
