We are seeking a highly organized and detail-oriented Event Coordinator to oversee the end-to-end planning and execution of company events (such as team-building activities, retreats, and off-sites), trade shows, and the Ventrata Open client conference. This role requires strong logistical oversight, vendor coordination, and on-site management to ensure seamless event delivery. The ideal candidate will have a keen eye for detail, excellent problem-solving skills, and the ability to align events with organizational goals and budgets.

Responsibilities:

  • Plan, coordinate, and execute events from conception to completion.
  • Manage event logistics, including venue selection, catering, transportation, and scheduling.
  • Oversee vendor negotiations, contracts, and relationships to ensure cost efficiency and quality.
  • Develop and manage event budgets, ensuring cost control and alignment with financial objectives.
  • Handle on-site event operations, troubleshooting issues in real time to ensure a smooth experience.
  • Manage travel arrangements for trade show participants. 
  • Collaborate with internal teams to align events with company goals and brand standards.
  • Proven experience in event planning and coordination.
  • Strong organizational and multitasking abilities.
  • Excellent communication and negotiation skills.
  • Ability to work under pressure and problem-solve in fast-paced environments.
  • Proficiency in budgeting and vendor management.
  • Willingness to travel as needed for event planning and execution.
  • C1 communication skills in English.
