Executive Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to provide essential support to our team. The ideal candidate, reporting to the Executive Assistant to the CEO, will have excellent communication skills, the ability to prioritize tasks, and a proactive approach to problem-solving. This role is crucial in ensuring smooth office operations and supporting our mission of skill-based excellence.

Role & Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to ensure efficient office          operations, including scheduling assistance in ordering office supplies and equipment and working with vendors.
  • Meeting Coordination: Assist inscheduling meetings, including preparing agendas and ensuring all logistics are in place.
  • Event Planning: Assist with the planning and execution of company events, from small meetings to larger corporate gatherings.
  • Conferences and Trade Shows: Assist with registrations, hotel accommodations, and assisting the marketing team with assets such as booth setup/teardown, delivery, etc.
  • Arrange and Maintain Travel: Assist in planning, booking, and preparing complex travel itineraries (domestic and international), in addition to maintaining the corporate travel software, Spotnana.
  • Company Swag: Assist in selecting and ordering company swag for both employees and customers.
  • Other Duties as Assigned

  • 2+ years of progressive administrative support experience with at least one-year supporting executive level.
  • Ability to handle sensitive and confidential information
  • Proven administrative assistant experience
  • Proficient in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint, etc.)
  • Excellent communication skills
  • Ability to multi-task, prioritize and manage time effectively
  • Ability to work independently and as part of a team
  • High school diploma or equivalent; college degree preferred

Our Recruitment Process

  • Interviews directly with the client (depending on the project the # of interviews may vary, this may include an assessment)

  • Work Remote Monday - Friday, 40 hours a week (no weekends)
  • Vacation: 10 business days a year
