Job Description

The Backoffice Expert Logistics is responsible for managing the procurement and inventory of consumables used in daily logistics operations. This role ensures the accurate and timely ordering, tracking, and delivery of goods such as packaging materials and any other consumables required to maintain the smooth functioning of the logistics and warehouse Operations.

Key Responsibilities:

  1. Ordering Consumables:
    • Monitor stock levels of all consumable items (e.g., packaging materials, labels, glue, tape etc.).
    • Place orders with suppliers based on inventory levels, usage trends, and forecasting.
    • Ensure timely ordering of items to avoid stockouts or excess inventory.
    • Ramp-up/Ramp-down support.
    • Implementation support new suppliers.
    • Check consumable invoices
  2. Inventory Management:
    • Maintain accurate records of consumable inventory, including quantities, order dates, and supplier information.
    • Track incoming shipments to ensure items are received on time and in good condition.
    • Perform daily inventory checks, to manage inventory efficiently: balance stock between minimum and maximum stock levels
  3. Supplier Relations:
    • Establish and maintain good relationships with suppliers
    • Communicate regularly with suppliers to resolve any issues with orders, and/ or deliveries
    • Review and evaluate supplier performance regarding daily operations.
  4. Data Entry and Reporting:
    • Update and maintain data, related to consumable inventory.
    • Generate regular reports on inventory levels, order statuses, and consumption rates.
    • Assist in preparing cost analysis and inventory cost reports for budget planning.
  5. Process Improvement:
    • Identify opportunities to streamline ordering processes and improve inventory management practices.
    • Suggest and implement improvements to ensure efficiency and reduce consumable stocks (and risk of waste) in the logistics consumable supply chain.
  6. Coordination and Communication:
    • Close collaboration and communication with the FC Manager and service provider teams to understand consumable needs and ensure on-time deliveries.
    • Act as a point of contact for internal teams requesting consumables and coordinate the fulfillment of those requests.
    • Act as a point of contact for consumable suppliers regarding orders and deliveries.
    • Provide updates on inventory status and any potential risks/ issues.
  7. Compliance and Safety:
    • Monitor and report on the usage of consumables to ensure efficient and cost-effective use.
    • Ensure back up/ continuation of the consumable ordering process during absence, in order to provide a network that delivers stable performance.

Qualifications

  • High school diploma or equivalent; additional training in logistics, supply chain management, or a related field is a plus.
  • Previous experience in a logistics, purchasing, or inventory control role is preferred.
  • Strong organizational and time-management skills.
  • Attention to detail and accuracy in record-keeping.
  • Ability to work well under pressure and meet deadlines.
  • Basic knowledge of inventory management software or ERP systems.
  • Excellent communication skills in English, both written and verbal.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
